Company Description

We are seeking a motivated and organised PA for our D2C Senior Management Team (SMT), who’ll also serve as an Assistant Office Manager. This role is essential in ensuring the smooth operation of our London office and providing vital support to our senior leaders.

What does the job involve?

Personal Assistant duties

  • Managing diaries and arranging meetings for SMT
  • Booking travel/accommodation and processing expenses
  • Support in preparation and distribution of senior management meeting packs including for Executive Committee and Board
  • Organise, attend, and take minutes at internal and external meetings and ensure follow up
  • Track action logs and ensure follow up
  • Assist in preparing documents, presentations, and reports for the senior management team, including internal communications for the MD
  • Act as a point of contact for internal and external stakeholders, handling inquiries and directing them appropriately
  • Work collaboratively with other EAs/PAs to ensure Execs aligned with the rest of ExCo and D2C SMT and provide cover for other EAs if required

Assistant Office Manager duties

  • Working closely with the Office Manager and building management to manage day-to-day office operations including:
    • Co-ordinating visitors
    • Maintaining tidy office space and meeting rooms
    • Keeping communal kitchen area tidy and well-stocked
    • Managing meeting room and desk booking processes
  • Act as a First Aider and Fire Marshall for the office
  • Support Office Manager and Social Committee to organise and co-ordinate office events

You’ll have

  • Experience of working in similar roles in a corporate environment   
  • Advanced skills in Office365 (Sharepoint, Excel, PowerPoint in particular), electronic diary and email management
  • Advanced skills in minute taking and audio typing
  • Qualifications: A*-C in GCSE English and Maths (or equivalent)

  • Advanced stakeholder management skills, with the ability to build effective relationships with stakeholders of all levels across the business
  • Highly organised and exceptional attention to detail
  • Excellent written and verbal communication skills
  • Team player who can collaborate effectively and is flexible in approach
  • Ability to manage complex information and summarise effectively
  • Lateral thinker with ability to 'think on their feet' and to challenge when appropriate.
  • Adept at pre-empting and/or resolving issues without unnecessary involvement of the Director
  • Highly diplomatic and discrete with the ability to handle highly sensitive matters
  • Proactive at all times and able to work on own initiative without supervision
