To provide co-ordination and accurate administrative, analytical, and reporting support
across Wholesale and 3P operations, ensuring smooth order administration flow, data input, accuracy
and integrity, and exceptional partner service.
This role plays a critical part in the operational backbone of the business — maintaining systems,
ensuring the smooth planning and delivery of stock to partners and supporting reporting, helping the
Sales and Operations teams deliver seamless partner experiences.

This is an exciting opportunity for a Operations Administrator to join us on our mission to empower women through fitness and beyond by positively contributing and supporting the Wholesale & 3P team.

To provide co-ordination and accurate administrative, analytical, and reporting support across Wholesale and 3P operations, ensuring smooth order administration flow, data input, accuracy and integrity, and exceptional partner service.

This role plays a critical part in the operational backbone of the business — maintaining systems, ensuring the smooth planning and delivery of stock to partners and supporting reporting, helping the Sales and Operations teams deliver seamless partner experiences.

Key Responsibilities

Order & Data Management
• Accurately input, update, and track all Wholesale orders across ERP and B2B systems.
• Maintain product, pricing, and customer data to ensure accuracy across sales and operations platforms.
• Support order confirmations, invoicing, and fulfilment tracking to ensure partners receive timely updates.

Operational & Partner Support
• Support showroom setup, sample management, and event coordination for seasonal sell-ins and trade shows.
• Liaise with logistics, finance, marketing and customer service teams to ensure accurate order fulfilment and partner communication.
• Assist in administrative onboarding of new wholesale partners by maintaining setup data and documentation.
• Ensure timely distribution of marketing, imagery, and product information to

partners as required.

Reporting & Analysis
• Produce weekly delivery and account performance reports for Sales and Operations teams.
• Maintain and update line sheets, stock trackers, and partner dashboards.
• Support the preparation of management reports, presentations, and seasonal reviews.
• Monitor and highlight order or delivery discrepancies to ensure swift resolution.

Team Liaison
• Act as a key and helpful point of liaison and action response across the full Wholesale team, supporting the smooth co-ordination of any cross-team processes and communication.

Measures of Success (KPIs)
• Accuracy and timeliness of order entry and reporting.
• Partner and internal stakeholder satisfaction.
• On-time delivery of administrative outputs.
• Data accuracy and compliance across systems.
• Contribution to process improvement and efficiency.

Experience & Profile
• 1–2 years’ experience in fashion or consumer goods wholesale, operations, or administrative support. Ideally experience of global or European operations and logistics helpful.
• Strong excel and data management skills; comfortable working with large datasets.
• High admin and detail-oriented, dependable, and proactive with excellent organisational skills.
• Confident, professional and approachable communicator with good written and spoken English. Additional languages in French, German or Spanish useful.
• Experience using ERP, CRM, or B2B platforms preferred.
• Highly collaborative and comfortable working across commercial and operational teams.
