About the Role

The Office / Workplace Specialist plays a key role in ensuring the smooth day-to-day operation of FareHarbor’s Amsterdam office. This role is responsible for managing workplace operations, coordinating facilities management, and supporting a productive and welcoming office environment for the Amsterdam team.

The Workplace Specialist serves as the primary point of contact for office operations and facilities matters, ensuring that the workplace is well-maintained, organized, and equipped to support team collaboration and productivity. This role requires strong organizational skills, attention to detail, and a proactive mindset to anticipate needs and resolve issues efficiently.

The ideal candidate is highly organized, comfortable managing multiple operational priorities, and enjoys creating a workplace environment where colleagues can do their best work.

What you'll do here: 

Workplace Operations & Administration 

Supporting employees and internal office coordination

  • Serve as the primary point of contact for Amsterdam office employees for day-to-day operational needs and requests
  • Coordinate internal office logistics including supplies, mail distribution, courier services, and general administrative support
  • Support internal office events and gatherings by coordinating logistics such as catering, room setup, and technology
  • Provide limited administrative support for Leadership Team travel by assisting with expense reports related to extended trips
  • Identify and implement improvements to office operations and administrative processes to increase efficiency

Facilities Management

Managing the physical workplace and external vendors

  • Act as the on-site point of contact for facilities-related matters within the Amsterdam office
  • Manage relationships with building management, contractors, and vendors to ensure the office operates smoothly
  • Oversee maintenance and upkeep of the office environment, ensuring a clean, safe, and functional workspace
  • Conduct regular inspections for maintenance needs, health and safety standards, and general office quality
  • Maintain emergency response procedures and coordinate periodic testing and compliance requirements
  • Manage visitor registration and guest access to the office
  • Lead workplace improvement initiatives such as office redesigns or workspace optimization projects

Requirements:

This is a full-time position with mandatory office presence from Monday to Thursday. Working from home on Fridays is possible, depending on events and other factors.

  • Experience
    • 1–2 years of relevant experience in office administration, workplace operations, facilities coordination, or a similar role
  • Core Skills
    • Highly organized with strong planning and prioritization skills
    • Strong attention to detail
    • Proactive and results-driven, with a willingness to take ownership and solve problems
    • Comfortable working in a dynamic environment and able to prioritize effectively even when information is incomplete
    • Ability to handle confidential matters with discretion
    • People-oriented with the ability to build and maintain strong working relationships across teams
    • Excellent communication skills, with fluency in English (written and verbal)
  • Tools
    • Experience with Google Workspace (Calendar, Sheets, Slides) or similar tools
  • Preferred
    • Fluency in Dutch is a plus, particularly for coordinating with building management, vendors, and local service providers
