The job

We’re looking for a highly organised and people-oriented Office & Travel Manager to lead daily operations in our London office while also supporting global business travel needs.

This is a full-time, on-site role requiring office presence Monday to Friday.

Your Experience

Must have:

  • 1+ year of experience as an Office Manager;
  • Fluent English (spoken and written);
  • Strong interpersonal and communication skills with a positive, can-do attitude;
  • Excellent organisational, time-management, and multitasking abilities;
  • Comfortable working with documentation and vendor coordination;
  • Proficient in Google Workspace, Slack, and Excel;
  • Calm under pressure and confident in solving unexpected problems;
  • Culturally sensitive with experience in multinational environments.

Nice to have:

  • Experience with corporate travel coordination or tools (e.g., TravelPerk, Concur);
  • Familiarity with visa and immigration processes (UK, Schengen, US, etc.);
  • Interest in office culture, event planning, or branding the workspace.

What you'll be doing

Office Management (Core Focus):

  • Manage all aspects of day-to-day office operations, including supplies, snacks, lunches, deliveries, and workspace setup;
  • Ensure proper office maintenance – keeping equipment, furniture, and facilities in good condition;
  • Maintain clean and well-stocked kitchen and common areas;
  • Build and manage relationships with vendors and service providers;
  • Organise deliveries and equipment shipments for remote team members;
  • Act as a liaison for health & safety and ensure the office meets UK compliance standards;
  • Support the IT team with minor onsite equipment needs;
  • Oversee swag inventory and manage distribution to employees;
  • Assist with onboarding and offboarding processes, including preparing welcome kits;
  • Foster a warm and welcoming office atmosphere aligned with our global values;
  • Help coordinate team-building activities and internal events tailored to local cultural norms;
  • Partner with People & Culture to support employee wellbeing initiatives;
  • Perform other ad-hoc tasks as needed to keep the office running smoothly.

Travel Support (Light Scope):

  • Assist with planning and coordinating international business travel for employees (using travel platform  TravelPerk);
  • Assist employees with visa support (EU, US, UK);
  • Advise on travel logistics, required documents, insurance, and safety protocols;
  • Ensure compliance with travel policies and support cost-effective solutions.

We support impact with meaningful reward. Here’s what that looks like:

  • Competitive salary and annual reviews
  • Opportunity to participate in Flo’s performance incentive scheme

  • Flo Premium for friends & family, plus more health, pension and wellbeing perks
