Office Services Operator

Salary: £29,500 per annum plus company benefits

Location: London, SE1 2AQ

Contract: Full Time, Permanent

Shifts: 35 Hours per week, Monday to Friday working 9am to 5pm/10am to 6pm on alternate weeks, with 1 hour unpaid lunch break.

Work model: Fully onsite

Purpose of role

The role of the Office Services Operator is a key position in providing flexible and responsive services to our client. Demonstrating pride and professionalism in all aspects of customer service, the office services operator will provide mail and office services assistance to clients and colleagues, putting the customer first and foremost.

Key Responsibilities

  • To answer telephone and email enquiries and follow through any queries in a professional and business-like manner
  • Sorting of mail using appropriate documentation
  • Scanning of documents using the scanning software provided
  • Carry out mail runs
  • Booking special deliveries
  • Delivery of mail and reprographics requests
  • Support outgoing mail process
  • Re-stocking stationery points and relaying stock level status to the Manager
  • To perform data entry responsibilities
  • Appropriate use of email, responding to client requests and communicating with clients
  • To process queries and complaints effectively seeking referral where appropriate
  • To meet and wherever possible to exceed targets set on an individual and team basis
  • To undertake any reasonable duties as requested by Manager
  • Build relationship with clients and manage their perceptions and expectations
  • Support colleagues and work as a team in order to achieve the best results for clients
  • To liaise with the clients in a professional and helpful manner at all times
  • Ensure full handover is given or taken when starting or finishing a shift
  • To maintain a tidy and safe work area
  • Comply with all departmental procedures
  • Maintain accurate working time directive and overtime records
  • Relate accurate information to users on the progression of their work
  • Take ownership of each task
  • Quality check all work produced for errors
  • Assist with calling out and recording of all equipment faults
  • Ensure all work requests are recorded appropriately and completed in full

Personal Attributes

  • Very good PC skills with an excellent knowledge of Microsoft software essential
  • Strong customer service skills
  • Able to think outside of the box and make decisions, if required, in the absence of the Manager
  • Focuses on clients first and strive at all times to exceed their expectations
  • Able to take responsibility to ensure that an outstanding service is delivered at all times and to smooth out potential issues
  • Display an adaptable and flexible approach
  • Possess a ‘can do’ attitude
  • A high standard of personal presentation – uniform will be provided

  • The ability to work well under pressure
  • Maintain a professional appearance and business-like manner at all times in order to instil confidence in the services provided
