Job Description

Office Manager - Telefonica Tech UK&I HQ - Central London

The Role:

We are now recruiting for a full time Office Manager to join our busy team; this is a great opportunity for a candidate to come into a role which can make a real impact on the business. The position will manage a brand-new flag ship office in the heart of London which will be the Head Office for Telefonica Tech UK&I.

We are looking for an experienced candidate who has a real passion and natural flair for providing first class customer service, gained within a hospitality or corporate background. The candidate will have a professional, friendly and solution finding attitude with the ability to manage a variety of stakeholders.

Key Responsibilities:

  • Provide a full front of house service for our busy, fast-paced reception area acting as the main point of contact, ensuring all employees and guests receive the best possible customer service and welcome when visiting
  • Ensure the smooth running of internal events, booking catering facilities and organising lunches where necessary
  • Help support customer and Partner events and bookings for our event space.
  • Implement efficient processes for managing employees and guests visiting the office
  • Manage capacity in the office and maintain effective management of the meeting rooms
  • Be the first point of contact with the Landlord’s operational and building management teams;
  • Provide facilities support, liaising with internal building facility team as well as external service providers to ensure the premises is kept in good condition and repair
  • Manage external service provider contracts, ensuring best value for money for the organisation
  • Build relationships with maintenance suppliers such as cleaners and landlords, liaising with the Health & Safety manager when needed
  • Ensure all new employees and visitors are given the required health and safety training as well as an office tour if necessary
  • Organise office supplies and make sure stock is kept up to date in meeting rooms and office areas
  • Organise provision of internal refreshments
  • Ensure (alongside a junior member of on-site staff) that the facilities are kept clean and tidy;
  • Answering calls and dealing with them appropriately with high levels of customer service
  • Ensure effective management of all incoming post and deliveries
  • Manage a team of receptionists / facilities co-ordinators, based in London and in Telefónica Tech’s offices throughout the UK;
  • Manage the booking of company travel requests;
  • Any other general office management tasks

Skills & Experience:

  • Ability to liaise with people at all levels both within and outside of Telefonica Tech, requiring a high level of interpersonal skills, sensitivity and customer awareness.
  • Exceptional planning and organisational skills
  • Ability to build and maintain relationships and work cross functionally
  • Ability to carry out tasks to a high standard with a strong eye for attention to detail and thorough approach to their work
  • Pro-active and flexible approach
  • Proficient in the use of Microsoft office packages such as Word, Excel and Outlook
