About the Role

We are seeking an experienced, highly organised and proactive Executive / Team Assistant professional to support a dynamic investment management team based in London.

This is a broad and varied role combining office management, executive assistance and team administration. The successful candidate will play a central role in ensuring the smooth day-to-day running of the office and providing high-quality support to senior leadership and the wider team.

This role is offered on a flexible, part-time basis (either 3–4 full days per week or reduced hours across 5 days).


Requirements

Key Responsibilities

Office Management

  • Oversee day-to-day running of the office
  • Act as primary contact for building management and external suppliers
  • Manage office facilities, equipment, IT coordination and supplies
  • Coordinate office moves or reconfigurations (if required)
  • Ensure a professional and welcoming environment for visitors

Executive & Team Support

  • Diary management for senior team members
  • Coordinate internal and external meetings (including investor meetings)
  • Arrange domestic and international travel
  • Prepare meeting materials and presentations (PowerPoint, Word, Excel)
  • Manage expense processing and invoice approvals
  • Support board and investment committee logistics

Events & Client Support

  • Assist with organisation of investor events and team offsites
  • Support preparation of marketing materials and meeting packs
  • Welcome visitors and coordinate hospitality

Administration & Operations

  • Maintain internal records and document management systems
  • Assist with onboarding of new joiners (equipment, access, logistics)
  • Support HR administration (holiday tracking, documentation coordination)
  • Liaise with external providers (accountants, IT, legal where required)

Candidate Profile

  • At least 3 years of experience in an office manager, team assistant or executive assistant role
  • Experience within financial services, investment management, private equity, real estate or professional services preferred
  • Highly organised with strong attention to detail
  • Professional, discreet and comfortable handling confidential information
  • Strong written and verbal communication skills
  • Proactive and solutions-oriented
  • Strong Microsoft Office skills (PowerPoint, Excel, Outlook, Word)
  • Comfortable working in a small, high-performance team environment
