We are seeking an Office Manager to help us create and maintain an exceptional working environment at our King's Cross headquarters. elasticStage is building the world’s first on-demand vinyl and CD platform, unlocking physical music for the Digital Creator era. By 2030, there will be over 250 million music creators globally, most locked out of physical formats due to high minimum runs and operational complexity. elasticStage solves this through patented on-demand vinyl and CD manufacturing technology, powering a free-to-use platform where creators can produce and sell physical releases worldwide with no upfront costs or minimum quantities. And we are scaling fast:

As our Office Manager, you'll take ownership of creating a workplace people genuinely enjoy coming to one that feels welcoming, energising and reflective of elasticStage's values and standards- while running like clockwork behind the scenes.

You'll own the day-to-day running of our three-floor King's Cross office end-to-end: keeping kitchens and office areas well stocked, managing suppliers and service providers, coordinating maintenance and repairs, organising company events, preparing for important visitors, and managing bookings. But this isn't just about ticking operational boxes; every detail you get right shows up in how people experience their day, every day.

This is a hands-on role for someone highly organised and proactive, who naturally notices when something needs attention rather than waiting for it to be raised. You'll anticipate what the team needs, spot opportunities to make things better, and bring ideas to life, taking real ownership of the workplace rather than just maintaining it.

You'll report to our Head of People and work closely with our existing Operations and People functions, who own our production facilities, HR and employee lifecycle. That clear split means you can focus fully on the physical office and workplace experience, making our King's Cross HQ an exceptional place to work.

Responsibilities

Office operations

  • Own the day-to-day running of our three-floor King's Cross office, clean, organised, well-stocked and running smoothly at all times.
  • Proactively monitor the space and resolve maintenance, presentation or supply issues before they're raised.
  • Manage office supplies, stationery, kitchen stock and consumables, keeping appropriate levels at all times.
  • Ensure office and kitchen equipment (coffee machines, water taps, etc.) is regularly serviced and kept in good working order.
  • Coordinate planned and reactive maintenance and repairs, liaising with building management and contractors as needed.
  • Manage building systems on our behalf, including security and access control, and liaising with building management on HVAC/temperature via the BMS.
  • Keep meeting rooms, kitchens and communal areas well-equipped and ready for use.
  • Coordinate deliveries, couriers, post and other daily office logistics.

Suppliers & budget

  • Manage relationships with suppliers and service providers (cleaning, catering, plants, coffee, furniture, waste/recycling, couriers, etc.).
  • Obtain supplier quotes, manage office-related invoices and expenses, and track spend against budget.
  • Maintain visibility of supplier contracts, service agreements and renewal dates.

Events & visitors

  • Organise company events, team lunches, celebrations and socials, venues, catering, suppliers and logistics.
  • Prepare for customer, partner and other important visits, ensuring spaces, catering and requirements are ready in advance.
  • Make restaurant, venue, travel and accommodation bookings where required.

Health, safety & growth

  • Coordinate routine health and safety activities, first aid supplies, fire safety, and workplace inspections with specialists where needed.
  • Support office moves, furniture changes and workplace improvements as we grow.
  • Spot and act on opportunities to improve the office environment and overall workplace experience.
  • Provide practical and administrative support for ad-hoc office and company needs.

Requirements
  • Experience as an Office Manager, Workplace Coordinator or similar, ideally in a fast-paced or growing organisation.
  • Proven ownership of the day-to-day running of a busy office.
  • Strong organisation and time-management skills; comfortable juggling multiple priorities.
  • Close attention to detail and high standards for how a workplace looks and runs.
  • Proactive and hands-on, you spot what needs doing without being asked.
  • Experience managing suppliers, contractors and service providers, including quotes, invoices and expenditure.
  • Experience coordinating company events, meetings or workplace catering.
  • Strong interpersonal skills, confident working with colleagues at all levels and with external visitors/suppliers.
  • Good judgement, able to solve day-to-day problems independently and know when to escalate.
  • Comfortable with common workplace and productivity tools.
  • Able to work predominantly from our King's Cross office, reflecting the hands-on nature of the role.

Work Location

  • This role is based at our vibrant King's Cross, London office. Due to the hands-on nature of the Office Manager role, you will be expected to work from the office 5 days per week, with occasional flexibility to work from home 1 day per week.
