About the Role

The Office Manager is responsible for ensuring the effective, efficient, and compliant operation of Acumetis office environments. The role provides broad operational support across the business, ensuring colleagues have access to high-quality workspaces, equipment, systems, and administrative support that enable them to perform at their best.
The Office Manager acts as a central operational coordinator, taking ownership of office management, health and safety, internal administration, systems management, events, and workplace experience. The role requires a proactive, flexible, and solution-focused individual who can balance multiple priorities while maintaining high standards of service delivery. The Office Manager continuously seeks opportunities to improve processes, enhance employee experience, and ensure operational excellence across all office-related activities.

ROLE RESPONSIBILITIES AND EXPECTATIONS

  • Strong understanding of office management practices, workplace operations, and facilities management.

  • Knowledge of budgeting principles and resource management.

  • Understanding of Health & Safety legislation and workplace compliance requirements.

  • Works closely with the People team and business leaders to support employee experience and operational effectiveness.

What You Do

Office Management

  • Develops, implements, and maintains processes that ensure office environments operate efficiently and to a high standard.

  • Manages office-related contracts, suppliers, and documentation required to support workplace operations.

  • Ensures office facilities, equipment, and services meet the needs of employees and the business.

  • Monitors office performance and acts on feedback to continuously improve workplace experience.

Budget Management

  • Manages office management and internal event budgets, and tracks expenditure.

  • Ensures spending remains within approved budgets and delivers value for money.

  • Provides clear business rationale and return-on-investment assessments where additional expenditure is required.

Technology & Equipment Management

  • Identifies and coordinates workplace technology and equipment requirements for employees and office locations.

  • Supports onboarding and ongoing equipment needs across the business.

  • Works with suppliers and service providers to ensure equipment is maintained and fit for purpose.

  • Considers sustainability and environmental impact when procuring equipment and office resources.

Internal Administration

  • Coordinates administrative activities that support employee onboarding, role transitions, and offboarding.

  • Supports internal meeting organisation, scheduling, and logistics.

  • Works closely with the People team to ensure employee-related processes are delivered effectively.

  • Maintains accurate records and documentation across administrative processes.

Health & Safety

  • Maintains and develops Health & Safety policies, procedures, and workplace practices.

  • Ensures compliance with relevant legislation and regulatory requirements, with guidance from external Health and Safety Advisor.

  • Coordinates training and certification requirements for fire marshals, first aiders, and other designated roles.

  • Conducts regular reviews to ensure workplace safety standards remain effective and current.

Office Maintenance

  • Ensures office facilities are maintained to a consistently high standard.

  • Coordinates repairs, maintenance activities, and supplier support as required.

  • Maintains appropriate stock levels of office supplies, refreshments, and workplace resources.

  • Ensures office environments remain clean, safe, welcoming, and professional.

Event Planning & Coordination

  • Plans and coordinates company events, meetings, and internal activities.

  • Sources venues, suppliers, accommodation, travel, and event resources as required.

  • Manages event budgets and logistics to ensure successful delivery.

  • Works collaboratively with colleagues and leadership teams to create engaging employee experiences.

Success Measures

  • Positive employee feedback demonstrating office environments are well managed and support productive working.

  • Office management and event budgets are delivered within approved limits.

  • Equipment, technology, and workplace resources effectively meet employee and business requirements.

  • Internal systems remain accurate, relevant, and well maintained.

  • Health & Safety compliance is maintained, with required policies, training, and procedures in place.

  • Office maintenance issues are resolved promptly and workplace standards remain consistently high.

  • Company events are delivered successfully, within budget, and receive positive employee feedback.

Qualifications and Experience

  • Demonstrated experience developing, implementing, and maintaining workplace standards, processes, and procedures.

  • Experience taking primary responsibility for managing office environments and associated operations.

  • Experience of office moves or renovations.

  • Demonstrated experience managing suppliers, contracts, facilities, and workplace services.

  • Practical experience planning and coordinating business events and internal activities.

  • Experience managing budgets and monitoring operational expenditure.

  • Experience supporting administrative and employee lifecycle activities within a professional business environment.

Logistics

  • Must be eligible to work in the UK.

  • Must be able to attend the Farringdon office at least 2 to 3 times per week.

  • Full-time role (part-time considered).

  • Fixed-term maternity cover contract (12 months)
