What is the key purpose of an Office Coordinator? 

At Taboola, we take our employees’ happiness seriously, and our office management team is a big part of that happiness. Reporting to the London office manager, the Office Coordinator will work on a team of amazing individuals that support our EMEA location of approximately 250 (and counting!) Taboolars. You’ll deliver excellent customer service while managing all day-to-day operations, maintain and organize our work environment, and create a place where employees can be productive and enjoy themselves.

What skills and qualifications do I need?

For this role it is essential that you have:

  • 1-3 years of experience as an office coordinator, ideally in a tech environment. Experience in a front office handling receptionist role and building relationships with a range of internal departments (finance, human resources, executive teams) 
  • Hands-on mentality, belief that no task is too big or too small 
  • Strong prioritization skills and ability to manage a wide variety of requests 
  • Passion for tackling issues in the moment and anticipating future needs, a creative and outgoing nature, and a get-it-done mindset 
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Interest and excitement surrounding corporate culture and events (ie. office events, Company days, Happy hours, anniversaries etc)
  • Knowledge of Google Workspace and Adobe Photoshop is desirable
  • Travel booking experience
  • Confidence and ability to sourcing new vendors and being cost effective
  • Can comfortably lift 15-20 lb items for office maintenance purposes 

 What will I be doing on a day-to-day basis?

  • Be the “face” of Taboola, sitting in the reception while being a welcoming point of contact for employees, clients, and visitors on a wide range of requests 
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Update appointment calendars and schedule meetings/appointments
  • Keep the office running smoothly and maintain inventory of all supplies, including IT equipment and our fully-stocked kitchen
  • Manage ad hoc projects and events, ranging from office lunches to annual parties
