The Office Management Department comprises the administrative and operational support roles within the organisation ensuring the smooth running of the ‘Front of House’ and ‘back office’ operations for all employees.

Job Overview

The Office Coordinator is responsible for providing daily operational support to the Senior Office Manager and to the general business population to ensure the smooth running of operational functions and to remove the operational and administrative burden and enable them to focus fully on the more strategic elements of their roles. 

Key Responsibilities & Accountabilities

  • Desirable experience of working in a similar role, preferably within a corporate environment.

General Office Administration (all Staff) 

  • Answer telephone calls, ascertaining their nature and importance, and resolving a range of customer enquiries; 
  • Effective maintenance of office supplies (e.g.: Office Equipment, Stationary, Kitchen Supplies: Tea, Coffee & Milk etc.). 
  • Ensuring that all communal business areas (e.g. Reception, Kitchen, Print and Desks Areas) are tidy and well maintained according to the desk/cleaning policy; 
  • Management of incoming/outgoing post for the Company; 
  • Management of staff gifts organising cards/gifts as appropriate (in accordance with the necessary HR and Compliance policies); 
  • Support, organise and coordinate company events alongside the Senior Office Manager; 
  • Assist in implementing office policies and procedures. 
  • General administration & project work as assigned (e.g.: New joiner Inductions & security passes, terminating building access for leavers, business cards, meeting agendas & taking minutes, photocopying, paper & online filing, invoices etc.). 

  

Reception 

  • Overall responsibility for the smooth running of Reception; 
  • Liaising with external clients and providing a professional service at all times; 
  • Arrange meetings, booking rooms, equipment and lunches when required; 
  • Ensuring that all meeting rooms & equipment are kept tidy and well maintained. 

  

Travel 

  • Booking of Travel & Accommodation in accordance with Company policies; 
  • Booking of Couriers and Taxi’s in accordance with Company policies
