Job Description

We are seeking a confident and proactive Office Admin Assistant to join the Endava London office.

As an Office Admin Assistant, you will play a crucial role in ensuring the smooth functioning of our office operations. Your primary responsibilities will include welcoming visitors, managing meeting room bookings, organizing mail distribution, maintaining meeting room cleanliness, and providing assistance to the Office Manager with administrative tasks. We are looking for an approachable and friendly individual with excellent organisational skills, multitasking abilities, and a positive attitude. The ideal candidate should also be comfortable interacting with individuals at all levels of seniority, possess discretion in handling confidential information, and demonstrate initiative in their work. Responsibilities:

• Register visitors on the building portal for ground floor reception, greet them, and escort them to their designated meeting room.

• Provide refreshments for visitors, ensuring their comfort and satisfaction.

• Organise incoming and outgoing mail, ensuring it reaches the appropriate person or department.

• Maintain the cleanliness and tidiness of meeting rooms throughout the day.

• Check the functionality of tablets in each meeting room and promptly address any issues.

• Assist the Office Manager in monitoring stock levels of office supplies.

• Support the Office Manager in various administrative tasks.

• Assist colleagues in booking meeting rooms and checking their availability.

• Prepare meeting rooms with snacks and water as requested.

• Collaborate with the Office Manager to plan and execute office events for staff.

Qualifications

• Approachable, friendly, and confident in interacting with individuals at all levels of seniority, creating a welcoming and professional atmosphere.

• Highly organised, capable of efficiently managing multiple tasks and prioritising responsibilities.

• Punctual, demonstrating a commitment to timeliness and reliability.

• Skilled in multitasking, effectively balancing various duties and responsibilities.

• Discrete and able to handle confidential information with professionalism.

• Proactive and able to use initiative to identify and address office-related needs.
