Function:
Office Administrator role serves as the central hub of the business, blending frontline customer service with operational support. To act as the welcoming face and voice of the business while ensuring the workplace runs smoothly behind the scenes. The role spans front-desk duties, diary management, procurement, general team support and organisation of critical Operational EHS activities.
Responsibilities:
FACILITIES MANAGEMENT & TRAINING COORDINATION
FM Supplier: Manage FM main contractor by raising PO’s, approving invoices, and monitoring of sub-contractors as requested by the Operations Director.
Operations Support: Organisation of all EHS training, including but not limited to First Aid & IOSH courses. Ensure all training records, certificates and spreadsheets are updated. Additionally manage the ECS program including applications and payments. Ensure Engineer addresses and labels are kept updated.
GENERAL OFFICE ADMINISTRATION
Meeting Coordination: Managing room bookings, scheduling appointments, and preparing spaces with necessary equipment. Organize refreshments and lunches for meetings as advised. Clear down meeting rooms when finished.
Mail & Logistics: Processing incoming and outgoing post, signing deliveries and distributing correspondence to correct departments. Manage Royal Mail to ensure deliveries and collections occur. Ensure the franking machine is up to date with current rates and credit.
Inventory Management: Manage inventory of office supplies, stationery, consumables, and refreshments, maintaining copies of weekly invoices. Ensure kitchen stock. Check/empty shredding bags in the machine. Ensure confidential wastepaper box 1st floor, key holder, arrange collection with Shredit. Liaison with Green Team Interiors to arrange regular visits and Christmas Tree.
Logistics: Book taxis, flights and general travel arrangements for staff when requested. Coordinating office maintenance or repairs.
Finance: Manage and log all incoming mail in system and prepare invoices for post. Provide customer/suppliers with company’s current insurance certificates. Keep records of lunch bookings to cross-reference with the Finance team.
Sales: Support sales with the LiveChat web, redirecting and responding to customer enquiries.
FRONT OF OFFICE & CUSTOMER SERVICE
Visitor Management: Welcoming guests, issuing visitor passes and ensuring building security, specifically
- Answer and screen all incoming communication to the organisation.
- Direct calls and messages to appropriate team members.
- Ensure OOH service, when not at desk, during weekends and bank holidays.
- Meet and greet visitors and provide hospitality and complete the Visitor book and issue passes.
- Keep track of foreign visitors in a log so to allow cross charge to the correct entity.
In addition to the above the Office Administrator, is required to comply with all and any reasonable requests made by the Line Manager or above.
