Role Overview

The Office Administrator Associate role has core responsibilities aligned to the office and its day-to-day function. ClearView’s Office Administrator Associates are seen as the embodiment of the company values.  They are a daily presence in the office and are an integral part of the office environment. In addition to the core responsibilities, they provide some basic support to leadership and some overflow support for the team. Professionalism in demeanor, communication, and appearance is key in this role as they are the first point of contact for clients and visitors. As with all ClearView employees, there is an opportunity and expectation that the Office Administrator Associate will join one of our many internal initiatives to integrate themselves into the company culture, engage with employees they may not otherwise work with and continue to gain new skills, experience, and knowledge.  

General office-related responsibilities  

There are a range of responsibilities related to office support, with the most important being the daily maintenance of the office environment. Examples of these activities include: 

  • Stocking the office pantry and supply rooms. 
  • Receiving and unpacking supplies and ensuring orderly storage of items in closets. 
  • Taking office supplies inventory (in coordination with the Office Manager). 
  • Receiving mail and packages and distributing them as necessary.
  • Greeting guests, logging visitors with building security, managing sign-outs and returning access cards for visiting employees.
  • Ensuring kitchen and meeting room areas are clean and tidy. 
  • Assisting in setting up and breakdown for office events. 
  • Supporting event planning coordination (i.e. team lunches). 
  • Managing general office email inbox and direct inquiries appropriately.

Basic administrative support for aligned leadership and extended leadership team members. 

Each Office Administrator Associate will have a specific set of aligned leadership and extended leadership team members to support. Administrative support for the aligned set of individuals is the primary priority of this role. 

  • Managing travel arrangements.
  • Managing and submitting expenses promptly.  
  • Calendar and scheduling support (internal and external) .
  • Printing & binding support .

Requirements

The successful candidate must have the following skills and experience: 

  • 1+ years of experience in an office environment 
  • Professional written and oral communication skills 
  • Technological literacy (Microsoft Office Suite) 
  • Strong attention to detail 
  • Ability to lift up to 50 pounds 

In addition, an outstanding Office Administrator Associate candidate will also have: 

  • Ability to be in the office 5 days per week.
  • Previous experience in a receptionist or administrative role 
  • Ability to multi-task and prioritize. 
  • Comfort with rolling up sleeves regardless of the task.
  • Desire to connect with people and develop relationships.

  • Familiarity with Concur and Salesforce is a plus.
