Summary

The Office Administrator role at Media Arts Lab is a fun and exciting opportunity to work within a friendly and creative office. The Office Administrator will be reporting into the Office Manager and part of the wider Office Services team. We are looking for someone who has a friendly demeanour, strong organisational skills, hands on an has an eagerness to assist colleagues and visitors, as well as ensuring the reception runs smoothly and effectively.

The Work:

  • Manage reception welcoming staff, clients and visitors while ensure security protocol are met
  • Answer emails, handle deliveries and mail
  • Monitor security systems and report any concerns
  • Oversee and coordinate staff travel including researching and booking arrangements, raising POs setting up traveller profiles, performing risk assessments, and ensuring seamless communication between travellers and travel providers
  • Manage meeting room bookings and ensure rooms are fully set ups for client meetings and interviews
  • Process invoices, log credit card receipts, and submit expenses in a timely manner
  • Order office and kitchen supplies and book couriers with Finance approval
  • Work autonomously, take ownership of the reception area and proactively identify improvement to office processes

Who will thrive in this role? 

  • Previous experience in a similar reception or office support role
  • Strong organisational, research, travel coordination & booking, and time-management skills
  • Professional, proactive and comfortable working independently
  • Excellent communication skills and attention to detail
