Salary: £29,120 per annum

Contract: 6 Month fixed term contract, full time

Shift details: 40 hours per week Monday to Friday; 08:00 – 17:00 / 09:00 – 18:00

Break details: 1-hour lunch, unpaid

Purpose of the Role

The corporate Receptionist will be the first point of contact for clients, visitors, and staff, delivering an exceptional front-of-house experience in a fast-paced, professional environment. This role requires a polished, client-focused individual who can manage reception operations efficiently while providing administrative support and occasional assistance with document production and mailroom tasks.

You will represent the firm with professionalism and discretion, ensuring all visitors receive a warm welcome and that meeting spaces and reception areas reflect the highest standards expected within the financial services sector.

Key Responsibilities

Reception & Client Services

  • Greet and assist clients, visitors, and staff in a courteous and professional manner
  • Manage visitor registration and building access, issuing passes and maintaining accurate records
  • Coordinate meeting room bookings, ensuring rooms are prepared and equipped for client meetings
  • Handle incoming calls and emails promptly, directing inquiries to the appropriate teams
  • Maintain a tidy and organized reception area that reflects the firm’s brand and values

Administrative Support

  • Assist with scheduling, calendar management, and ad-hoc administrative tasks for internal teams
  • Prepare and distribute meeting materials, presentations, and documentation as required
  • Support internal events and client hospitality arrangements, including catering coordination
  • Manage courier bookings and oversee incoming/outgoing deliveries with attention to confidentiality

Reprographics Support

  • Assist with basic document production tasks such as printing, scanning, and binding
  • Handle ad-hoc print requests for client presentations and internal documents
  • Ensure accuracy and quality in all document handling, maintaining confidentiality at all times

Mailroom Support

  • Sort and distribute incoming and outgoing mail accurately and promptly
  • Coordinate courier services for urgent or sensitive deliveries
  • Assist with package handling and ensure secure delivery of confidential materials

Operational Duties

  • Monitor and order office supplies for reception and meeting rooms
  • Raise maintenance tickets and liaise with facilities teams to ensure a safe and efficient workplace

Key Competencies

  • Professionalism: Impeccable presentation and ability to represent the firm with discretion
  • Communication: Strong verbal and written communication skills; confident in client-facing interactions
  • Organisation: Excellent time management and ability to prioritize tasks in a dynamic environment
  • Technical Skills: Proficient in Microsoft Office Suite; familiarity with scanning, printing, and mail handling equipment
  • Team Player: Collaborative, proactive, and adaptable with a positive, can-do attitude

Experience & Qualifications

  • Previous experience in a corporate reception or front-of-house role within financial services or a professional services environment preferred
  • Strong customer service background with an emphasis on client care
  • Ability to handle confidential information with integrity
