The D2C Marketing Operations & Admin Executive will sit within the D2C Marketing Team, who are responsible for all CRM, Performance Marketing and our Direct to Consumer Ecommerce Store – Samsung.com. They will support Marketing Finance Operations processes (70% of time), as well as provide Admin support for the wider D2C team and D2C Leadership team (30% of time).

Role and Responsibilities

Your Key Responsibilities

Marketing Budget Management

Responsibilities:

  • Collaborate with D2C Marketing Channel Owners to develop budget proposals and monitor spending against the agreed budget.
  • Ensure that all costs are tracked and captured on budget tracker documents and shared with the D2C team.
  • Provide regular reports on budget status, variances, and recommendations for adjustments.
  • Identify areas for cost optimization and ensure adherence to financial guidelines.

Deliverables: Create and maintain a comprehensive marketing budget overview that includes planned expenditures, allocations, and forecasts.

Marketing Finance Operations + Process

Responsibilities:

  • Own and run the Marketing Finance Process for D2C ; working with relevant Budget Owners to raise Plan Proposals and Purchase Orders for approval, following the agreed company guidelines and policies.
  • Liaise with relevant team members to ensure plans and critical metric forms are processed in accordance with the BQMS / SAP ways of working in order to raise PP and PO’s on time (seeking briefs /estimates / SOW management / raising PP’s and PO’s).
  • Ensure no late Purchase Orders are raised, and that no work is commissioned or started without an agreed Purchase Order.
  • Work with the legal team to process statement of work documents and other cost related documentation.
  • Collaborate with Marketing Channel Owners to ensure Delivery Confirmation processes are completed in a timely way, with appropriate evidence shared of work completed.
  • Maintain an accurate log of Open Purchase Orders, and ensure swift closure of Purchase Orders once work has been completed, evidenced and billed.  
  • Trouble shoot / work closely with the finance team to ensure the timely delivery of all documentation required for the processing of PO’s and invoices.
  • Annually support the DTC Budget Owners and Commercial Finance Team setup the yearly marketing budget in advance. Including setup of campaign budgets, collection of project scopes, agency RFPs, SOWs etc.
  • Work with the legal team to submit all creative through our legal approval system (CPMS).
  • Liaise with other external agencies and suppliers to ensure compliance with all financial processes related to the execution of agreed marketing activities.
  • Be the D2C team expert in understanding the different financial / procurement / legal processes as well as Samsung’s internal systems.
  • Run Marketing Finance Process training sessions for new starters and refresher sessions for existing team members and ensure the team follow the marketing expenditure policy.

Deliverables: Complete Purchase Order raising process, in order to ensure Marketing team colleagues are able to work efficiently and within agreed finance processes, by ensuring Plan Proposals and Purchase Orders are raised in a timely way, aligned to the overall Marketing Budget.

Marketing Finance Process Improvement

Responsibilities:

  • Develop and implement best practices to streamline marketing operations, enhance team efficiency, and improve project delivery timelines.
  • Foster a culture of continuous improvement by soliciting team feedback and encouraging innovative solutions.
  • Attend finance and team status meetings to update the team on financial status of projects

Deliverables: Conduct a thorough review of current marketing processes and identify at least three key areas for improvement annually.

D2C Team Administration

Responsibilities:

  • Maintain D2C Onboarding Information and Guide for New Starters, ensuring Team Information and Organograms are kept updated.
  • Organise onboarding process for New Starters, booking in relevant introduction meetings, securing equipment approvals and sharing relevant team information.
  • Maintain Diary Management and Room Booking for D2C Team Meetings, to including Weekly Huddle Call and Monthly Team Meeting. Organise catering where relevant and required.
  • Arrange and organize D2C Team Offsite Strategy Meetings (2x yrly) to include venue selection, catering, agenda management, external speaker booking and team entertainment. 

D2C Leadership Team Support

Responsibilities:

  • Process Leadership Team Expenses and reconciliation of expenses.
  • Arrange quarterly D2C Leadership Team Offsites, including organising catering where relevant and required.
  • Arrange travel arrangements, to include flights, accommodation, itineraries and travel requests through internal Samsung systems, as required for D2C Leadership team business travel.
