Description

The role in a nutshell: Responsible for providing campaign administration and ad hoc support to the Marketing Programmes & Communications team. The role also provides the opportunity to support with the development and launch of Marketing Programmes, reviewing and approving Financial Promotions, whilst liaising with a large stakeholder base across the OneToyota entities.

A bit about the ‘Department’: The Marketing and Product department are responsible for creating and promoting customer finance offers that help support the sale of new and used cars and subsequent customer communications. The department is divided into two teams; Marketing Programmes & Communications and Product. Key responsibilities of the Programmes & Communications team include launching quarterly marketing programmes for both retail and fleet, managing network programme communications, internal and customer-facing communications and campaign performance monitoring and optimisation.

What you’ll be doing:

  • Carry out the end-to-end Toyota Financial Services and Lexus Financial Services (TFS/LFS) programme administration, working closely with Toyota Great Britain (TGB) / Lexus UK (LUK) stakeholders. Including but not limited to liaising and agreeing processes with relevant stakeholders, creating and distributing financial statements to Centres and raising invoices.  
  • Leading the monthly administration process ensuring  accurate delivery to agreed timelines, clear reporting and record keeping, and stakeholder sign-off co-ordination.
  • Provide Marketing and business reporting as required (including Marketing monthly dashboards), utilising tools such as PowerBI. This includes collating feedback and data to support performance analysis of ad hoc initiatives, quarterly campaigns and product/process changes.
  • Responsibility for departmental invoice processing, liaison with Vendors, raising POs, reviewing and approving invoices and updating the budget tracker.
  • Proactively find solutions to, and resolve Centre Network queries regarding campaign payments, scheme appeals and other adhoc requests.
  • Assist in the development of Marketing Campaigns and materials, such as creating finance examples using our Point-of-Sale (POS) system, reviewing and approving Financial Promotions in line with TFSUK guidelines and FCA expectations.
  • Support the team with various administrative duties such as arranging meetings, preparing presentations and supporting with annual internal Audit requests.

  • Opportunities to participate in “Kaizen” (continuous improvement) and “TWOW” (Toyota Ways of Working) activities to improve workflows and processes particularly by challenging current processes and suggesting improvements.
  • Explore opportunities to introduce or improve use of digital platforms such as PowerBI to enrich reporting and insights.  
  • Pro-actively seeking involvement in ad hoc business projects.
Requirements

Key Experience & Skills:

  • Strong administration experience.
  • Strong numerical and reconciliation skills.
  • Proficiencies in using Microsoft Office, particularly using Excel for data interrogation and statistical analysis.
  • Experience of creating accurate and insightful reports.
  • Experience of maintaining clear and detailed records.
