The Role

As a Junior Operations Associate at Hypervolt, you’ll be the person who keeps customer orders on track after they’ve been placed. You’ll handle changes and cancellations, answer order queries across email and phone, and work with Sales, Fulfilment and installation partners to fix delivery problems and delays. A big part of the role is staying organised: keeping records accurate, chasing open orders before they slip, and helping with the day-to-day admin and reporting that keeps retail operations running smoothly. It’s a great fit for someone with a background in customer service, operations or admin who has a sharp eye for detail and likes seeing problems through to the end.

Key responsibilities

Order amendments: Handle post-purchase order changes, cancellations and customer requests, working closely with the Sales and Fulfilment teams. This could mean updating a delivery address, changing a product, or stopping an order before it ships.

Query management: Monitor and respond to order-related queries across email, phone and other channels. You'll make sure every request is picked up, prioritised and actioned quickly, so no customer is left waiting.

Issue resolution: Work with internal teams and partners to resolve order discrepancies, delivery problems and fulfilment or installation delays. You'll investigate what went wrong, agree a fix and keep the customer updated.

Accurate record-keeping: Keep order updates, amendments and customer requests accurately recorded in our systems, and make sure the right teams are kept informed. That way, everyone works from the same, up-to-date information.

Proactive follow-up: Track open orders and outstanding queries, following up with the relevant teams to keep things moving and ensure timely resolution. You'll spot orders at risk of delay early and chase them before they become a problem.

Operations admin: Maintain accurate order records and help with the day-to-day admin that keeps our retail operations running smoothly. This includes keeping trackers up to date and supporting reporting on order volumes and issues.

What we're looking for
  • Experience in an operations, customer service, retail or admin role
  • Strong attention to detail and a habit of getting records right first time
  • Clear, friendly written and spoken communication, with customers and colleagues alike
  • Good organisation skills and the ability to juggle several queries at once
  • A proactive, problem-solving mindset: you follow things through to the end
  • Enthusiasm for working in a fast-moving, growing business
