Job title:  IT Business Analyst & Project Coordinator

Department: IT

Location: Princes Manor Barn, Harwell, Oxfordshire – office based 3 days

Reports to: Senior IT Manager, Infrastructure & Applications, Ariat Europe

Job Details:

Ariat Europe is looking for a proactive, organised and collaborative IT Business Analyst & Project Coordinator to help connect our European business teams with our global IT organisation. This is a varied, hands-on role combining business analysis, project coordination, system improvements and day-to-day collaboration with stakeholders across the business.

You will work with colleagues to understand business needs, document requirements, coordinate projects and system changes, support testing and help ensure that solutions are delivered effectively. The role offers the opportunity to build experience across business processes, applications and technology, working closely with global IT teams and business stakeholders.

We are looking for someone who is comfortable switching between tasks, takes ownership, asks thoughtful questions and enjoys helping people solve problems. You do not need to be a deep technical specialist or an experienced project manager, but you should have a genuine interest in how systems and technology support business operations.

Day to Day Responsibilities:

Business analysis and requirements

  • Work with teams across Customer Service, Sales, Finance, Operations and other functions to understand business needs and identify opportunities for improvement.
  • Gather, analyse and document requirements, user stories, process flows and acceptance criteria in a clear and practical way.
  • Help map current processes, identify pain points and support the definition of improved ways of working.
  • Act as a link between business users and technical teams, ensuring that requirements and expectations are understood.

Project and change coordination

  • Coordinate IT projects and smaller initiatives from discovery through delivery, tracking actions, milestones, dependencies, risks and decisions.
  • Maintain project plans, status updates, meeting notes and action logs, keeping stakeholders informed of progress and potential issues.
  • Work with global IT teams and business stakeholders to support delivery against agreed priorities and timelines.
  • Help assess and document change requests, supporting prioritisation based on business value, urgency, effort and impact.
  • Take ownership of assigned tasks and follow up proactively to keep work moving.

Systems, testing and continuous improvement

  • Support user acceptance testing (UAT), including preparing test scenarios, coordinating business participation, recording defects and tracking outcomes.
  • Help investigate application or process issues by gathering examples, documenting symptoms and coordinating with the appropriate technical teams.
  • Work with colleagues to validate fixes and changes before release and support post-implementation checks.
  • Identify opportunities to improve processes, reduce manual work and make better use of existing systems and technology.
  • Maintain clear documentation so that requirements, decisions and solutions can be understood and reused.

Global IT and stakeholder collaboration

  • Build positive working relationships with European business teams and colleagues across the global IT organisation.
  • Represent European business needs while supporting global standards, shared solutions and consistent ways of working.
  • Communicate clearly with both technical and non-technical audiences, adapting the level of detail to the audience.
  • Support training, communications and change adoption where required.

Required experience:

  • Typically +3 years’ experience in business analysis, IT project coordination, business systems, application support or a similar role.
  • Strong organisation and coordination skills, with the ability to manage multiple tasks and maintain a clear sense of priority.
  • Excellent problem-solving skills and the confidence to investigate issues, ask questions and seek solutions under pressure.
  • Clear written and verbal communication skills, with the ability to work effectively with people across different teams and levels.
  • A proactive, helpful and friendly approach, with strong interpersonal skills and a willingness to collaborate.
  • Good attention to detail and the ability to turn discussions and information into clear requirements, actions and documentation.
  • An interest in business applications, integrations and how technology supports end-to-end business processes.
  • Ability to take ownership of tasks, follow through on commitments and raise risks or blockers early.

Desirable experience:

  • Exposure to SAP or another ERP/business application.
  • Experience using Jira, Smartsheet or similar tools for task, project or change tracking.
  • Involvement in user acceptance testing, requirements gathering, process mapping or system enhancements.
  • Experience working with distributed teams or within a global organisation.
  • Familiarity with project management or business analysis methods; formal qualifications are welcome but not essential
  • Strong communication
  • Confident using data to evaluate activity and inform decisions.
  • The ability to travel without restrictions to mainland Europe and the US
  • Ability to drive in the UK
  • Confident working independently and taking ownership of projects.
  • Collaborative and comfortable working across multiple functions.
  • Adaptable and comfortable managing competing priorities.
  • Results-oriented, with a focus on delivering measurable impact.
