Manage the Internal Travel team for efficient travel arrangements, oversee budgeting/forecasting, collaborate with finance, and maintain strong vendor relationships.

You could play a vital part as Internal Travel Manager, to manage the Internal Travel team’s coordinating of travel arrangements for staff and management.Based in our Biggin Hill Campus, reporting into the Head of Formula 1 World Travel, you will:
- Day to day line management of the Internal Travel team, with a core focus on delivering smooth and efficient travel for the business
- Oversee the organisation and coordination of travel arrangements for employees, contractors and management
- Ensure the team are planning ahead for current and future events, including investigating and evaluating new hotels and other service providers
- Oversee all ad hoc business travel, providing the right level of due diligence regarding requests
- Work with the Head of FOWT to provide a clear strategy and direction for the team, including implement core KPI’s and SLA’s that are visible to the business and reported upon regularly
- Ensure that information is being passed from the internal travel team to the end user in a clear and timely manner
- Conduct regular reviews with travelling personnel to ensure that the needs of the business are being met
- Partner closely with the Finance team in order to establish and maintain robust purchase order, payment and reporting processes.
- Support the Finance team with detailed travel data for budget/forecast preparation and tracking as well as other financial reporting requirements.
- Build and maintain strong relationships with travel suppliers and key external parties to negotiate cost-effective contracts
- Build relationships and collaborate with other internal departments to ensure their needs are effectively met
- Maintain internal travel portal and suggest improvements that will aid personnel in a seamless travel process
- Understand and keep up to date with current visa requirements and implementing or adapting business processes to remain compliant
- Ensure that all relevant visa information is shared with the various departments and key contacts and that visa applications are submitted punctually.
Skills and Experience:
- Proven experience as a corporate travel manager, including that of managing a team.
- Experience processing and managing large group bookings, including group flights, hotels and ground transportation.
- Strong industry knowledge with an understanding of airfares, contracted fares, ticketing and hotel reservations.
- Knowledge and understanding of budgeting/forecasting and financial reporting with experience of working closely with a Finance team in these areas.
- Competent using Microsoft Office applications, including intermediate Excel skills.
- Thought leader, able to drive next level process improvements.
- Track record of implementing change and delivering results
- Strong communication skills both written and verbal.
- Ability to work on own initiative independently and with confidence, or as part of a team.
- Impeccable attention to detail, being highly organised, ability to prioritise and multi-task especially when under pressure.
- Ability to deliver a great customer experience and maintain an ‘above and beyond’ attitude.
- A hands-on manager able to get involved with the day-to-day operations as well as manage the team.
- High level of integrity and ability to maintain confidentiality.
