About Jupiter

Jupiter provides investment services to individual and institutional investors through mutual funds (UK unit trusts, Luxembourg SICAVs and Dublin OEICs), separately managed accounts and sub-advised funds. Jupiter has experienced a period of international growth with offices open in EMEA and APAC. 

The majority of our employees are based in our London office located just minutes from Victoria station which provides stair-free access from both the Underground’s Victoria line and National Rail platforms, as well as limited road crossings to the Jupiter office. Our London office was designed to encourage employees to live active, healthy lives with floor-to-ceiling windows that allow for greater natural light and the benefit of a private balcony, table tennis room, cycle storage and on-site shower and locker facilities. The short distance to Green Park and St James' Park also provides employees with a natural space to relax during their lunch break and a healthy alternative to office-based meetings. 

We offer our UK employees a 3:2 hybrid working arrangement where Tuesdays, Thursdays and a third day of your choice are worked from the office. The other two days may be worked from home.  This facilitates collaboration and allows employees to maximise productivity whilst maintaining a healthy work/life balance.

Background

The role supports the Legal team including acting as a key contact point for internal stakeholders and ensuring that team members receive sufficient administrative support to facilitate the effective and efficient operation of the team. This is a 12-month FTC to provide cover for the permanent PA.

Key Responsibilities

  • Point of contact for internal and external enquiries, including:
    • coordinating and filtering work requests to the Legal team; and
    • compiling initial drafts of common legal agreements based on templates.
  • Provide business support with pro-active management of emails and diary management to the Heads of Legal and, where capacity allows, other team members.
  • Preparation of meetings including producing agendas, collating papers and logistics for the meeting.
  • Understanding of key stakeholders, including internal contacts and external law firms, their needs and priorities and ensure that they are kept informed on relevant matters.
  • Coordinating certain reports on behalf of the team (e.g. fortnightly activity reports, litigation log).
  • Ensure managers have correct paperwork for meetings.
  • Book travel including flights, trains, taxis and hotels for all trips in UK and abroad in line with travel policy.
  • Production and formatting of PowerPoint presentations and Word documents.
  • Complete expense claims and process invoices using Workday.
  • Uploading legal agreements to and general management of the Legal team’s Document Management System.
  • Routine office administration (e.g. filing, photocopying, shredding, archiving, invoice, expense processing and tracking, signature requests).
  • Provide holiday cover for other PAs as and when required.

Desired Skills / Experience

  • Proven team/personal assistant experience preferably in Financial Services and/or a law firm/legal department.
  • Advanced knowledge of Microsoft Office (in particular, PowerPoint, Word and Outlook)
  • Strong level knowledge of Excel
  • Accuracy and attention to detail even when working under pressure
  • Strong organisational skills
  • Strong communication skills
  • Ability to deal professionally and discreetly with confidential information
  • Ability to work with minimum supervision
  • Flexible and adaptable in approach to work
  • Ability to prioritise and multi-task
  • Hands on team approach
  • Confidence to liaise with contacts at all levels
