The HR Operations Associate is responsible for supporting the day-to-day operations of our Human Resources department. This role plays a critical part in ensuring smooth execution of HR processes, maintaining employee data integrity, and supporting the full employee lifecycle—from onboarding through offboarding. This role will be required to be organized, responsive, and comfortable handling confidential information. This role provides essential administrative and systems support to HR teams and employees, ensuring efficiency and compliance in all operational activities. Next to HR Operations responsibilities, the role will be responsible for processing of invoices. You also will be providing travel support to employees and provide admin support for Navan, the internal travel system.  


Key Responsibilities

HR Administration & Employee Support 

  • Invoice processing  
  • Provide travel support to employees in case of irregularities 
  • Admin support for Navan, our travel system, creation of reports for payroll 
  • Maintain accurate and up-to-date employee records in the HRIS system. 
  • Process employment changes including promotions, transfers, and terminations. 
  • Support onboarding and offboarding logistics, including documentation, system access, and checklists. 
  • Serve as a point of contact for employee HR-related inquiries and escalate when necessary. 

Data & Systems Management 

  • Enter, update, and audit data in HR systems to ensure consistency and accuracy. 
  • Generate HR reports and assist with regular audits for compliance and internal needs. 
  • Support the implementation and maintenance of HR systems and process improvements. 

Compliance & Documentation 

  • Ensure employee files are complete and compliant with company policies and legal requirements. 
  • Assist in updating and distributing HR policies, employee handbooks, and process guides. 

General HR Operations 

  • Coordinate HR-related logistics for events, training sessions, and internal communications. 
  • Assist with payroll and benefits administration support, including data gathering and employee updates. 
  • Collaborate with other departments such as IT, Finance, and Legal to support employee lifecycle processes. 
  • Participate in HR projects as needed to improve operations and employee experience 

Vendor Management 

  • Help track HR budget spend, manage vendor invoicing and payment process. 
  • Maintain up-to-date records of vendor contracts, payment timelines, and deliverables. 

 

Key Qualifications & Experience

  • Bachelor’s degree in Human Resources 
  • 1–3 years of experience in an HR support or operations role. 
  • Familiarity with HR systems (e.g., HiBob, Workday, Navan etc.) preferred. 
  • Strong organizational and multitasking skills with a keen eye for detail. 
  • Excellent communication and interpersonal skills. 
  • Ability to handle sensitive and confidential information with integrity. 
  • Proficient in Microsoft Office or Google Workspace tools. 
  • High attention to detail, organizational skills, and the ability to work in a fast-paced environment.
