Job Description

We are looking for a highly organized and proactive HR and Executive Assistant to support our HR and Executive teams on a 1-year fixed-term contract. The ideal candidate will assist with a wide range of administrative tasks, including travel bookings, event coordination, meeting room arrangements, diary management for MPs, and HR administrative support. This role requires someone who is detail-oriented, with excellent time management skills, and the ability to handle multiple tasks efficiently. Previous HR knowledge is not required but would be a plus.

Key Responsibilities:

  • Executive Support:
    • Manage complex diaries and schedules for senior leadership and MPs.
    • Organize and coordinate travel arrangements, including flights, accommodation, and transportation.
    • Plan and schedule events, conferences, meetings, and room bookings.
    • Assist in organizing logistics for meetings and conferences, ensuring all materials and resources are prepared in advance.
  • HR Administration:
    • Provide administrative support to the HR team, including document management, filing, and data entry.
    • Help prepare HR reports, process employee requests, and maintain employee records.
    • Support with employee onboarding, including coordination of new starter documentation and inductions.
  • General Administration:
    • Handle incoming calls, emails, and other communication on behalf of executives.
    • Coordinate the ordering of office supplies and maintain inventory.
    • Ensure smooth office operations and assist with any ad-hoc administrative tasks as required.

Key Requirements:

  • Education and Experience:
    • Proven experience as an Executive Assistant, HR Assistant, or in a similar administrative support role.
    • Experience with diary management, travel coordination, and event planning.
    • Prior experience in HR administration is advantageous, but not essential.
  • Skills:
    • Exceptional organizational and multitasking abilities.
    • Strong written and verbal communication skills.
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • A proactive approach with the ability to work independently and manage competing priorities.
    • Ability to handle confidential and sensitive information with discretion.
  • Personal Attributes:
    • Highly detail-oriented and efficient.
    • Professional, approachable, and able to work with people at all levels.
    • Flexible and adaptable to changing priorities.
    • Positive attitude with a strong work ethic.
      Additional Information:
  • This role will be office-based in London, with 3 days required in the office each week.

  • The contract is for a 1-year fixed-term with the potential for extension, depending on business needs.

  • Immediate start required in December.
