You'll be working closely with HR and recruitment professionals located across the US, Madrid, London, Paris, Kuala Lumpur and Singapore, assisting with various day-to-day people-related matters and HR activities.

Role Overview 

As a Human Resources Coordinator at IPC, you will play a crucial role in supporting our HR department’s activities. Your efforts will assist in maintaining an efficient and responsive HR service, crucial for the well-being and development of our employees. We are looking for a proactive, organized individual who thrives in a fast-paced environment and is passionate about helping people.

  • Employee queries: respond to HR and benefit inquiries and escalate matters to HR Business Partners and Benefits Manager as needed. Including managing the Regional HR Acting as a first point of contact for Employees with a positive and organised approach.
  • Manage onboarding process: issue offers of employment, draft employment contracts, administer background checks, send first day essentials, and enroll employees on systems and with benefits providers.
  • Complete offboarding duties: process employee offboarding and provide support to employees who are leaving the organization.
  • Probation periods: track and manage employee probation processes, management reminders and probation completion or extension paperwork.
  • Maintain employee files: maintain accurate employee files for current and former employees. 
  • HRIS System: ensure data integrity in our employee records and develop our HRIS system (Oracle cloud) to further automate and streamline our work practices.
  • Payroll: Process payroll changes and work closely with Payroll to ensure changes are processed appropriately.
  • Benefit changes: process changes with vendors including additions, terminations, and status changes.
  • Leaves of absence: serve as the main point of contact for employees and managers regarding leaves of Maintain internal records, manage absence records and return to work processes.
  • Purchase requisitions and invoicing: raise purchase requisitions and process invoices in the Oracle system, monitor and reconcile vendor billing, and resolve administrative problems with the vendor representatives.
  • Supporting IPC’s People Programs: supporting our strategies to drive talent development, wellness, inclusion and mentorship at IPC.
  • Employee Experience: assist with initiatives that improve employee experience, including organization or employee events, coordination of Town Halls and other initiatives for HR and the Executive Team.
  • Recruitment: support recruitment activity, including interview scheduling and welcoming candidates.

  • Employee experience: providing a responsive and high-quality HR service to the organization and supporting people programs aimed at enhancing employee engagement and organizational culture.
  • Deepen business insight: cultivate a thorough understanding of the business, its products and objectives through ongoing curiosity and continuous learning.
  • Centralize activities: support the consolidation of our operational, compliance, and process-oriented tasks to streamline processes and ensure consistency.
  • Drive Automation and Efficiency: enhance operational activities by leveraging technology and forging strong partnerships to boost automation, efficiency, and overall optimization.
  • Support Business Partners: empower the Business Partner function by reducing their operational and proactively supporting them with processes, documentation and support.

Essential Skills and Experience to be Successful in the Role

  • Bachelor’s degree in Human Resources, Business, Law, or other related field.
  • 1 year of proven experience as an HR coordinator or within an administrative position.
  • Knowledge of human resources processes and best practices.
  • Ability to handle data with confidentiality.
  • Good understanding of labour laws.
  • Excellent organizational and time-management skills.
  • Outstanding communication and interpersonal skills.
  • Emotionally intelligent team player who is passionate about building relationships.
  • Strong emotional intelligence and a passion for working with and supporting people
  • Proficiency in MS Office applications.
  • Trustworthy and professional in all situations.
  • Self-starter who can take initiative and work autonomously when needed.
  • Pro-active and eager learner who is keen to progress their knowledge within HR and a business.

Desirable Requirements:

  • Communication: confident communicator with people at all levels of the business.
  • Empathetic: must have a caring mindset with a desire to create positive experiences.
  • Problem Solving: solutions focused approach, good judgement, and adept in problem-solving.
  • Organizational skills: fantastic organization and time management skills required
  • Confidentiality: capable of handling confidential and sensitive matters. 
  • Flexible: must be adaptable and flexible to the shifting needs of the department. 
  • Persistent: a results-oriented “doer” who goes beyond the call of duty.
  • Experience working in Human Resources in either the US or European.
  • Experience working in corporate fast-paced environments (ex: Financial Services or Technology organizations).
  • Exposure to Employment Law practices in the US or EMEA.
  • Experience using HRIS Systems, such as Oracle.
  • Ability to be flexible in working hours, in line with department and employee needs.
