The Role

The HR Administrator will provide comprehensive administrative support to the Human Resources department, ensuring the smooth and efficient running of all HR operations. This role is crucial in managing the recruitment process, maintaining accurate employee records, and supporting various HR initiatives such as DEI, learning & development.

Responsibilities

You will be responsible for the day to day HR administration and tasks within Ozone. This includes but is not limited to:

  • Recruitment Process Management:
    • Manage the end-to-end recruitment process, including drafting and issuing offer letters.
    • Oversee employee onboarding, including reference checks, first-day details, and providing initial support to new hires.
    • Registering new employees with the building for day one
    • Write job descriptions (JDs) as required and upload them to BambooHR for external advertisement.
    • Manage incoming applications and schedule interviews with hiring managers and candidates.
  • Role Repository Management:
    • Ensure the maintenance of a comprehensive repository of all roles across the company.
    • Contribute to forward planning of career paths within the organisation.
  • Manage Brixton Finishing School partnership:
    • Regular check in with the Account Manager to arrange mentoring and involvement with BFS activities.
    • Maintain the Agency Preferred Supplier List (PSL) by department
    • Include up-to-date contact details and contract information for all agencies
  • Agency PSL Management:
    • Maintain the Agency Preferred Supplier List (PSL) by department
    • Include up-to-date contact details and contract information for all agencies
  • Promotion, Probation and Payrise Administration:
    • Handle all administrative tasks related to employee promotions including preparation of letters, changing details and uploading documents on BambooHR.
    • Create and issue payrise, bonus and probation pass/extension letters
    • Send out quarterly commissions to Front Office
  • Office Management:
    • Managing IT partner relationship for joiners and leavers

Required Experience / Skills

  • Good communication - you will be interacting with the business regularly from C-Suite to Executives
  • Excellent attention to detail particularly with contracts, letters of promotion etc  
  • Some experience with administration would be advantageous
  • Ability to follow processes and procedures, keeping projects running on time to meet deadlines. Suggesting process improvements where needed
  • Working on various projects at the same time, managing conflicting deadlines
  • Some diary management for L&D sessions - diary invites, room bookings, arranging refreshments
