Job Description:

WHAT - Summary & Purpose of the Position

The Global Workspace Design Senior Manager is responsible for leading the creation, evolution and implementation of Ipsen workspace design guidelines, based on Ipsen’s flexible hybrid working model, business requirements and employee experience. As part of the real estate strategy, the workspace design is reflecting how we best support Ipsen employees to be productive, feeling part of the Ipsen culture and to ensure talent retention through leading the site fit out in real estate projects. The Global Workspace Design Sr Manager will ensure processes, collaboration and external support is adapted to best serve our expectations in our projects.

WHAT - Main Responsibilities & Technical Competencies

  • Key Accountabilities:
  • Accountable for development and implementation of Global workspace design guidelines to deliver against strategic Ipsen objectives and ensure employee experience is at the heart of strategies.
  • Ensures workspace design standards and processes, are aligned with wider workplace guidelines and drive consistency across the portfolio.
  • Accountable for leading the workspace design in real estate projects
  • Collaborates closely with the project lead and external contractors delivering real estate projects
  • Ensure third party strategy supports in implementing the workplace design in e.g. creation of guidelines, test fits, interior.
  • Ensure relevant KPI’s with third parties are implemented and followed up on regularly.
  • Accountable for continually reviewing the global guidelines to ensure it being adapted to support to Ipsen business needs, employee experience and productivity
  • Responsible for developing global workspace standards supporting estimation of needed space.
  • Work in close collaboration with internal stakeholders as HR, Site Management Committee, communications, well-being responsible, EHS , digital workplace, etc.
  • Ensure that employee environments are supporting ergonomics, productivity and collaboration.
  • Ensure environment, health and safety elements are integrated in the workspace design, complying with all legislative requirements and policies to ensure a safe working environment for all staff and customers.
  • Global Workspace design Strategy & Vision:
  • Driving consistency across the portfolio with employee experience at the center
  • Collaborates on developing the strategy for technology in the workplace to ensure employees have the right technology to achieve strategic goals and work productively
  • Leads on identifying external trends and industry leading practices that can be incorporated into global real estate strategies and initiatives to drive value and improve business delivery
  • Global Stakeholder Engagement:
  • Leads on engaging with senior stakeholders to understand strategies / initiatives, and identify workplace operations and workplace operations experience requirements
  • Acts as an ambassador for collaboration, proactively engaging with teams across the business and developing strong networks 
  • Provides workplace operations and workplace operations experience expertise to enable effective decision-making across the business
  • Shares external market insights with the business, providing recommendations that will drive improvements and deliver value
  • Global Workplace operations and Facilities Management:
  • Accountable for continually reviewing the global portfolio to identify opportunities to drive workplace operations experience and facilities improvements
  • Works closely with the Global Workplace Strategy, Global Real Estate Lead, and Global Project director to identify future challenges and proactively navigate organizational barriers to deliver value
  • Embeds the core Ipsen values across the team
  • Global Workplace operations Supplier Management:
  • Responsible for the execution of strategy of workplace operations and services (e.g. space management, occupier data…)
  • Owns and manages the global relationship with preferred workplace suppliers, assessing performance against defined KPIs and metrics
  • Acts as the main point of escalation for critical supplier performance issues/risks relating to workplace services and facilities
  • Works closely with Procurement to ensure supplier contract costs relating to workplace activities are cost effective
  • Global Workplace Operations and Facilities Policies, Processes and Standards:
  • Accountable for ensuring regional workplace operations and facilities standards align with wider workplace guidelines, and that compliance measures for risk, safety and environment are met
  • Responsible for developing processes to aid employees, support functions and users of the office space to adapt to changes, understand workplace policies and ways of working
  • Global Workplace Operations and Facilities Risk Management:
  • Leads on resolution of workplace risks, making strategic decisions on the appropriate course of action and escalating to the Global Head of Real Estate & Workplace, when required
  • Responsible for creating safe workspaces, that align to health, safety and environmental standards, internal policies and legislation
  • Operational Excellence and Business Performance Management:
  • Manages and monitors the Workplace operations and Facilities against key metrics
  • Creates an environment that fosters a culture of inclusion and respect, and ensures team members are always acting ethically 
  • Compliance:
  • Embeds Compliance Culture across all regions of the business ensuring Integrity in Action is actively applied in all initiatives
  • Ensures team members strictly adopts a culture of ethics and compliance; leading by example and appropriately challenging non-compliance
  • Ensures adherence to Ipsen policies relating to Ethics and Compliance standards

HOW - Knowledge & Experience

Knowledge & Experience (essential):

  • +5 years’ experience within a workplace and / or facilities management and /or hospitality background
  • Evidence of working with Customers to develop, apply and implement workplace operations and FM strategies
  • Experience of managing FM budgets, reporting and forecasting to meet budget.
  • Experience of delivering FM cost saving and enhanced workplace experience
  • Good experience within EHS legislation and best practices
  • Proven leadership and people management experience including commitment to develop and enable high performance standards within third party deliveries
  • Excellent communications skills (active and passive).
  • Ability to operate independently and use own initiative

Knowledge & Experience (preferred):

  •  Pharma, or other (e.g. consumer) sector experience and knowledge - desirable

Education / Certifications (essential):

  •  Graduate or equivalent professional qualification and proven expertise

Education / Certifications (preferred):

  •  Nationally recognised Environmental, Health and Safety qualification – desirable

Language(s) (essential):

  • Fluent in written and verbal business English, another language considered positive
