Role Summary
As a Global Mobility Coordinator, you will play a vital role in executing the day-to-day logistics of our global relocation and immigration programs, ensuring a seamless transition for employees moving internationally. You will work closely with the People Operations team and external vendors to track visa milestones, coordinate relocation services, and maintain high standards of data integrity. We are looking for a highly organised, detail-oriented individual who possesses the empathy to support employees through major life changes and the proactivity to keep complex processes moving on schedule.
Role Responsibilities
  • Operational Support: Serve as a point of contact for employees during their relocation journey, providing initial process overviews and ensuring they feel supported from initiation to arrival.
  • Immigration and Relocation Coordination: Initiate relevant vendors, assist in the day-to-day coordination of immigration support and relocation logistics.
  • Process Administration: Partner with People Operations to execute the administrative tasks associated with permanent transfers, assignments and temporary remote work requests. You will help ensure that all internal records and payroll notifications are accurate and timely.
  • Immigration Tracking: Support the team in monitoring global immigration compliance, specifically by tracking visa expiry dates and coordinate with external counsel to initiate renewals and extensions.
  • Data Management: Maintain and update global mobility trackers (short-term assignments, transfers, and repatriations). You will ensure that our reports are accurate.
  • Resource Maintenance: Assist in the upkeep of internal resources, including FAQs, intranet pages, and process maps, ensuring that our employees always have access to the most current mobility information.
  • Vendor Liaison: Act as a junior point of contact for external relocation and immigration vendors, helping to schedule briefings and following up on pending action items to keep cases moving forward.
  • Program Support: Provide administrative and project support to the Global Mobility Specialists on new initiatives, helping with data collection and analysis, and internal communications.
Who You Are:
  • Experience: You have 1-2 years of experience in an HR, legal, or administrative role, ideally with some exposure to immigration or global mobility. You understand the basics of visa types or relocation logistics and are eager to grow your expertise.
  • Detail-Oriented: You have a high degree of "operational excellence." You enjoy checking boxes, meeting deadlines, and ensuring that no detail falls through the cracks.
  • Self-Starter: You are proactive and motivated. While you will have guidance, you are someone who looks for the next task and isn't afraid to ask questions to ensure you're providing the best support possible.
  • Empathetic Communicator: You recognize that moving countries is a major life event. You are a kind, clear, and professional communicator who enjoys helping people navigate complex processes.
  • Organized: You can juggle multiple tasks at once without losing your cool. You thrive in a fast-paced environment and love using spreadsheets or tools to keep your work organized.
