Front of House/Office Coordinator (4 days/week, Mon-Thurs)

If so, we want you to be the face of our London office!

Opportunity based in Stratford, London – 4 days a week (Mon-Thurs) with Fridays off.

Your Role in Our Future

As the heart of our front-of-house operations, you will be responsible for delivering an outstanding experience for visitors, contractors, and employees alike. This role is more than just reception—you’ll be an integral part of the team, ensuring the office runs smoothly and supporting colleagues in various administrative and operational tasks.

  • Be the face of our office – Welcome visitors with warmth, professionalism, and enthusiasm, ensuring they have a seamless and positive experience.

  • Manage our front-of-house services – Oversee visitor bookings, parking access, and security, ensuring all guests, contractors, and employees are easily identifiable and adhere to policies.

  • Adapt to the pace – Some days will be fast-paced with a high volume of visitors; others will be quieter—on those days, you’ll proactively support the wider office with administrative tasks, facilities coordination, and process improvements.

  • Own the Facilities Inbox – Respond to and action emails efficiently, ensuring facilities-related queries and requests are handled promptly.

  • Be a champion for office excellence – Check and maintain the office’s appearance, ensuring it remains a first-class working environment.

  • Manage supplies and resources – Keep stationery, PPE, catering supplies, and locker management in check so that everything runs smoothly.

  • Facilitate maintenance and compliance – Organise planned and reactive maintenance, liaise with suppliers, and ensure recycling and confidential waste are managed correctly.

  • Build strong relationships – Collaborate closely with head office teams, external vendors, and the Here East reception and security teams to maintain a seamless office experience.

  • Uphold high standards – Maintain a well-presented, professional, and security-conscious front-of-house presence at all times.

  • Event Assistance – Support the coordination and execution of office events and occasional kickoff events outside of our offices.
