About the Role

This part-time role (24 hours per week) supports the smooth running of our office by providing a professional, welcoming front-of-house presence and ensuring our workspace is well maintained. As a fintech company, we value a positive client experience and an organised working environment, and this role plays an important part in achieving that. The position is fully on-site, working ideally Monday to Thursday 9:00 am - 3.30 pm, but with a degree of flexibility and reports to the Office Manager.

Key Responsibilities

Reception Duties

  • Provide a warm, friendly, and professional welcome to all clients, guests, and visitors.
  • Manage the reception area, ensuring it is always tidy, organised, and professional.
  • Act as the first point of contact for all client queries (in person, by phone, and by email), ensuring requests are dealt with promptly and professionally.
  • Liaising with delivery partners such as Just Eat.

Administrative & Building Support

  • Manage post, deliveries, and office supplies, ensuring smooth day-to-day operations.
  • Support Health & Safety requirements by keeping communal areas safe and secure.
  • Full management of external contracts for the building and internal meetings with Building contacts.
  • Fire warden duties.
  • Log and follow up on maintenance issues.
  • Maintain office furniture and equipment; ensure general cleanliness and order.
  • Handle ad-hoc workplace requests, including external errands, as needed.
  • Assist with office activities, events, and other business needs as assigned.

Kitchen & Communal Area Responsibilities

  • Manage weekly kitchen-appliance cleaning and ongoing maintenance schedules.
  • Maintaining a high standard of cleanliness of the kitchen and surrounding areas.
  • Delivery Handling: Receive, check, and safely store kitchen deliveries, ensuring that all items are properly accounted for and stored.
  • Storage: Take responsibility for the safe and tidy storage of supplies and equipment, in line with your area of work.

Office Supplies

  • Ordering of office supplies such as desk equipment, stationery, new joiner items.

  • A willingness to provide support across various administrative tasks.
  • Has basic IT skills and is comfortable learning new systems.
