As Front of House Coordinator, you are the first impression of that standard. You set the tone for every chauffeur who walks through our doors and ensure our London Academy consistently reflects the level of excellence we expect them to deliver to passengers.

This role is for someone who finds pride in precision. You will combine refined hospitality with office management, creating a seamless, luxury-grade experience for chauffeurs while taking full responsibility for the day-to-day running of the Academy. From maintaining immaculate public-facing spaces to ensuring everything is perfectly organised and amenities replenished, you will safeguard an environment that inspires chauffeurs to embody our standards in every journey they provide.

Responsibilities
  • Take full responsibility for how the Academy looks, feels, and operates day to day. Ensure every front-of-house space reflects our uncompromising standards, maintained to the level of a luxury hotel lobby or lounge, creating an immersive environment where excellence, savoir-faire, and our brand vision come to life.
  • Manage the reception desk as the first point of contact for chauffeurs and external visitors, delivering a warm, polished, and highly professional welcome that sets the tone for the Wheely luxury experience from the moment they arrive.
  • Oversee the seamless distribution of chauffeur amenities, ensuring every interaction reflects the service, attention to detail, and refinement we expect chauffeurs to provide to our passengers.
  • Own the Academy and office inventory end-to-end. Maintain complete oversight of all stock, from office essentials to chauffeur amenities, ensuring everything is immaculately organised, perfectly presented, and consistently replenished to support a flawless Academy experience.
Our ideal candidate
  • 1+ years in a reception or concierge role within a high-end or luxury setting, with a clear understanding of service etiquette, presentation standards, and the level of polish expected in guest-facing spaces.
  • Proven experience coordinating reception operations, including managing visitors, coordinating facility maintenance, and office supplies inventory.
  • Ability to prioritise effectively and manage multiple responsibilities at once, maintaining excellence and attention to detail even in a fast-paced, evolving Academy environment.
  • Adaptability with a service-first attitude. Comfortable adjusting to shifting priorities and operational needs while maintaining consistency in standards, professionalism, and delivery.
  • Exceptional communication skills with a focus on clarity, structure, and finesse.
  • Comfortable using basic software and tools relevant to the role (Google Suite, Notion, Intercom).
  • Full on-site presence required. Available to work from the Academy five days a week, ensuring consistent oversight, experience quality, and in-person leadership of the chauffeur environment.

  • This is an office-based role located in Hammersmith. Wheely has an in-person culture but allows flexible working hours and work from home when needed.
