The Role

Our Finance and Legal teams play a crucial role in maintaining the financial and legal matters of our firm by managing day-to-day accounting tasks, supporting financial reporting, and ensuring compliance with accounting procedures, SRA regulations and other legal and regulatory standards.

As a Finance Assistant, you will provide key support to our team in managing the expenses and processes related to client and matter accounts. You will ensure that accounting procedures are followed in accordance with the Solicitors Accounts Rules and that the team is kept informed of relevant matters in a timely manner. The role also includes involvement in cyclical processes (month-end, year-end, audits, etc.) and offers ample opportunities to collaborate with the wider Legal and Finance teams.

Key Responsibilities:

  • Daily banking and reconciliations;
  • Processing bank transactions using HSBCnet;
  • Purchase ledger management;
  • Maintaining office and client ledgers;
  • Posting month end journals and month end close;
  • Processing internal account transfers;
  • Preparing COFA Monthly Compliance Pack;
  • Producing daily, weekly, and monthly reports on the financial status of the organisation;
  • Invoicing clients for services rendered and following up on overdue payments.;
  • Reporting any suspected account breaches or unauthorised activities through the appropriate channels;
  • Submitting quarterly VAT returns through the government's online portal;
  • Ensuring compliance with relevant regulations;
  • Liaising with relevant external parties, including clients, auditors, suppliers, banking providers, regulatory bodies and compliance officers.
  • Ad hoc tasks as required to support the team

Nice to have’s:

  • Knowledge and understanding of SRA Accounts Rules
  • Familiarity with Xero and Actionstep
  • Experience using Lexis Nexis Visual Files
  • Legal cashiering experience within the Life Insurance industry

Who Are You? 

  • At least 4+ years legal cashiering experience to include client and office account.
  • Extensive experience in bookkeeping, management accounting, banking and matter handling systems.
  • Excellent understanding of the Solicitors Accounts Rules and accounting best practices.
  • Strong understanding of VAT treatment on disbursements.
  • Proficient in Microsoft Office, particularly Excel.
  • Excellent communication skills, both written and verbal.
  • Ability to work accurately in a fast-paced environment.
  • Have a positive attitude and be proactive.
  • Ability to maintain confidentiality of all information.
