Finance Administration Assistant

Salary: £27,300 pro rata per annum plus company benefits

Location: Guildford, GU1

Contract: Part-time, 12 month FTC

Shifts: 25 hours per week, Monday – Friday 5 hours per day flexible within office hours.

Work model: Hybrid (2 days in the office once training completed and 3 days work from home)

Williams Lea seeks a Finance Administration Assistant to join our team!

Purpose of role 

The Finance Administration Assistant will work as part of a team to provide the highest level of customer service to our client’s Private Client department. Whilst the list of tasks in this document is not exhaustive, the Finance Administration Assistant may cover any combination of the tasks set out below and will provide excellent customer service, performing all operations requested without direct supervision.

This includes, but is not limited to, the efficient and prompt answering of queries, adhering to all Williams Lea policies and procedures, courteous interaction with clients and visitors following the Williams Lea protocols for this service, completing all work within the agreed services levels and assisting with completing general administrative duties as required.

The Finance Administration Assistant is accountable for maintaining the established relationship between Williams Lea and our clients. You will be able to recognise and translate the client’s needs and to translate these into a responsive service.

  

Key responsibilities 

  • Inputting data and transferring time/information on Elite
  • Dealing with incoming/outgoing/issuing cheques
  • Transferring time entries from matter to matter
  • Matter closures
  • Digital payments
  • Treasury Sanctions check
  • Land Registry Bankruptcy check
  • Verification of bank details
  • IDs for beneficiaries (Thirdfort or certified ID and Proof of Address)
  • International Payments
  • International Bankruptcy checks
  • Credit Notes
  • Generating draft bills and the processing of finalised bills, submission thereof and subsequent following up for payment.

Personal attributes 

  • Knowledge within day to day tasks i.e. raising draft bills, BACS/CHAPS and verifying bank details
  • Exceptional standard of written and verbal communication
  • Proficient multi-tasker
  • Competent with the Microsoft Office suite
  • Team player
  • Previous experience of Elite would be preferrable
  • Excellent interpersonal skills
  • Solutions focused
  • Have a high level of confidentiality and integrity
  • Exceptional attention to detail
