What will I be doing?
This is an all-encompassing and dynamic role, supporting the Chief Commercial Officer (CCO) and the Chief Growth Officer (CGO), both based in London. You won't just be managing schedules; you will be a strategic "force multiplier," ensuring our leadership can focus on driving global expansion and commercial excellence.
In this role you will be responsible for:
- Time & Priority Orchestration: Efficient management of the CCO and CGO’s time, maintaining oversight of their calendars to ensure total alignment with immediate business priorities.
- External Engagement: Organising and supporting regular key external client meetings, acting as a professional first point of contact for global partners.
- Strategic Preparation: Proactive preparation of meeting materials, briefing notes, and pre-reads to ensure leadership is fully equipped for every interaction.
- Internal Liaison: Navigating the organisation to ensure business clarity, acting as a bridge between the C-suite and internal teams.
- Complex Logistics: Managing and executing complex international and domestic travel planning, including detailed itineraries and visa requirements.
- Team Culture & Events: Organising regular internal team meetings, including logistics, agendas, presentations, and team socials.
- Governance Support: Attending key meetings to accurately capture discussions and diligently follow up on action items.
- Collaborative Support: Working closely with the wider EA community to provide world-class support across the organisation.
About You
This role is for an Executive Assistant who is ready to be a true partner to our leadership team. You are a strategic right-hand who builds strong relationships with stakeholders at all levels and thrives in a high-stakes, high-energy environment.
Ideally you’ll have/be:
- Confident & Assertive: Confident in your own abilities, not afraid to ask questions, and comfortable "pushing back" when necessary to protect leadership time.
- Commercially Minded: A strong commercial sense with the judgement to make independent decisions that align with business goals.
- Agile & Pre-emptive: Highly proactive; you can pre-empt the needs of the CCO and CGO and offer solutions before problems arise.
- Adaptable & Resilient: Able to react quickly to fast-paced, changeable schedules and global events while remaining calm and professional.
- Presence-Focused: Committed to working in our London office at least 3 days per week to foster close collaboration.
- Mission-Driven: A high work ethic and a natural ambassador for the Kaluza brand and mission.
