Your Role
As Executive Assistant to the Founder and CEO of MiniMBA, you will play a pivotal role in enabling smooth day-to-day operations and supporting our strategic priorities, with light-touch coordination across the wider MiniMBA Leadership team. You will be a problem-solver and an organisational force given complex calendaring and extensive travel planning. Based in our London office, you will work closely with the Brave Bison executive assistant community to ensure effective liaison across internal stakeholders.
Areas of responsibility:
- Calendar management – scheduling meetings and ensuring effective coordination and diary alignment across the Founder and CEO of MiniMBA as well and internal and external stakeholders.
- Meeting and event coordination: Plan and coordinate meetings as required, including preparing agendas, taking minutes, and arranging logistics for both internal and external events. Lead the planning and execution of MiniMBA team away days.
- Global Travel & Logistics: Expertly coordinating intricate international travel itineraries, across multiple time zones, including booking flights, accommodation, trains, visas, and taxis.
- Office based and administrative tasks: Handle general administrative duties such as filing, managing expenses, and overseeing budgets.
- Executive expense reconciliation: Manage credit card statements, and the end-to-end process of raising purchase orders and tracking invoices.
Core Candidate Criteria:
- Exceptional organisational and multitasking abilities, with strong attention to detail and accuracy.
- Excellent verbal and written communication skills, with the ability to influence stakeholders at all levels.
- Comfortable working in a high-pressure, fast-paced environment with shifting priorities.
- Self-starter with a high degree of autonomy and accountability.
- High level of technical proficiency, including Microsoft Office and internal business systems within Brave Bison.
- Sound judgment, professionalism, and discretion when handling sensitive information or competing priorities.
- Collaborative team player with a cooperative attitude and a willingness to take on diverse responsibilities.
