Executive Assistant

As we continue to grow, we’re looking for an exceptional Executive Assistant to provide high-level support to members of our senior leadership team. Your main focus will be supporting the COO, but you will also assist 1–2 other senior leaders, some of whom are yet to join us. This role is pivotal in ensuring the smooth running of day-to-day operations, enabling our executives to focus on driving strategic initiatives and scaling the business.

The Role

As Executive Assistant to the COO (and 1–2 other senior leaders), you’ll be a trusted partner — managing schedules, communications, and logistics with precision.

You’ll work alongside Executive Assistants across the organisation, helping to ensure best-in-class support and adapting your contributions to meet the changing needs of the business.

Key ResponsibilitiesExecutive Support
  • Provide proactive and professional support to the executives, ensuring their time and priorities are managed effectively.
  • Coordinate complex and ever-changing calendars across multiple time zones.
  • Manage inboxes, prioritising and triaging messages, and drafting responses where appropriate.
  • Prepare meeting materials, briefing documents, and follow-ups to ensure meetings are productive and outcomes are tracked.
  • Coordinate travel arrangements and itineraries, ensuring smooth execution and clear communication.
  • Schedule and organise internal and external meetings.
  • Build strong working relationships with internal teams, external partners, and stakeholders.
  • Handle confidential information with the utmost discretion and professionalism.
  • Provide occasional cover or collaboration support for other Executive Assistants in the UK and US.

  • Excellent written and verbal communication skills, with strong attention to detail.
  • Exceptional speed and quality of execution, with ease operating across multiple communication and productivity platforms — including Outlook, Slack, WhatsApp, Zoom/Teams, and Notion (or similar tools) — and advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Calm, adaptable, and composed under pressure; comfortable managing ambiguity and shifting priorities.
  • Confident working with and as necessary giving difficult messages to a range of senior executives.
  • Interest in improving efficiency through technology, including AI-powered tools and workflow systems.
  • Demonstrated success supporting C-suite leaders, combining composure under pressure with the practical insight that comes from deep, hands-on experience.
  • A true team player who is not afraid to roll up their sleeves, share context openly, and thrive on cross-functional collaboration to help the whole company succeed.
  • High level of discretion and emotional intelligence — you handle sensitive information with care and professionalism.
  • Collaborative and personable, with a positive attitude and genuine interest in helping the team succeed.
  • Experience working across multiple time zones or in a global organisation.
