Description

The Role:

We are looking for an Executive Assistant to join the Digiterre team. This is a key role in which you will provide efficient EA support to the commercial, management and wider operations teams, assisting them to fulfil the responsibilities and activities of their roles. You will manage diaries, including appointments and meetings, provide administrative support, and ensure the access to relevant files/documents when required.

Responsibilities

EA work for the management team

  • Managing diaries of senior managers.
  • Ad hoc projects as and when required, e.g. database updates and data cleansing

Client Meetings / CRM

  • Booking client meetings for the team, ensuring availability of all parties which may be across different time zones based on contact data provided to you
  • Rearranging meetings when necessary, ensuring availability of all parties which may be across different time zones
  • Booking lunches and dinners with clients for the team.  Researching and booking venues for same
  • Build relationships with PAs and EAs at clients and leverage their knowledge where possible to get introductions to other PAs, EAs and senior staff
  • Following up with clients not responding to meeting requests in a timely manner and with sensitivity
  • Researching clients online to see if they have changed companies
  • Updates to client details in CRM when required
  • Setting tasks in CRM and updating on progress so sales team can easily see actions taken

Social Committee / Events

  • Assisting Senior PA with social events as needed, including:
    • Social committee
    • On-line and in-person events
    • Joint events with other members of the companies within the group

HR Support

  • Scoring interview tests
  • Issuing eyesight vouchers when required
  • Ordering staff gifts and arranging internal communication
  • Researching Christmas gifts for all staff and separately Senior Management Team

Company travel

  • Researching locations, flights, accommodation and other administration around travel arrangements for visits
  • Office
    • Booking meeting rooms when required
    • Creating and updating client org charts in PowerPoint and CRM

Requirements

  • EA experience with senior Executives, ideally in a sales environment and liaising with clients
  • Excellent organisational skills
  • Ability to prioritise and multi-task
  • Excellent communication skills
  • Confident and calm under pressure
  • Positive and professional attitude
  • Confident to work across different time zones
  • Happy to work independently as well as part of a team
  • Mature, discreet, resilient, flexible, adaptable
  • Educated to A level standard
  • Microsoft Office, particularly Excel and Word
