Purpose of the Role

We are looking for an Executive Assistant to provide executive, confidential secretarial and administrative support to the Global Transformation Director, who is leading a significant, multi-year business transformation project for the Group. This is a truly global role engaging with stakeholders from all parts of the Dentsu organisation in order to ensure the successful delivery of the project.

This is a full-time role based out of our London office on a hybrid working basis.

Key Responsibilities

  • Provides and often leads a full range of highly confidential /administrative support, exercising sensitivity, tact and diplomacy
  • Acts as first point of contact for all queries - screen, redirect and action all incoming matters, following up where required
  • Prepares complex correspondence, reports, presentations, agendas, minutes, etc. using business software applications.
  • Receives and directs incoming calls, visitors, mail and e-mail, prioritising communications as appropriate
  • Responsible for maintaining files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses
  • Participates in the development and implementation of administrative standards, policies and practices

Qualifications + Skills

  • Advanced skills with full suite of Microsoft Office products, notably Outlook / Teams/ Excel / PowerPoint / Word
  • Proven ability to use a variety of multimedia communication tools (MS Teams, video/ tele-conferencing) and internal software systems (expenses, procurement, CRM etc.)
  • Advance MS office skills including PowerPoint (masterslide knowledge) and Excel are essential
  • Preferred but not required experience with Concur expenses.
  • A candidate with prior experience supporting multiple executives as PA/EA at senior level/C-Suite. Preferably within the Media or Technology sector
  • Preparing and arranging agenda packs for meetings and offsites
  • Ability to maintain and manage deadlines for the wider team as well as for your Executives and yourself
  • Working closely with business partners, stakeholders and vendors and building relationships remotely and in person
  • Supporting the maintenance of team channels and distribution lists including Technology for all areas of technology
  • Preparing and working with our communication team and/or Technology Executives on monthly newsletters and email communications for our technology execs using our communication platform and tools
