We are looking for a highly skilled executive assistant (EA) to support the UK managing director (UK MD) in a fast-paced, high-impact role. Given the MD’s lean team structure, this role requires a proactive and highly capable EA who can move fast, manage complex scheduling, produce high-quality presentations, and engage effectively with senior internal and external stakeholders—including government and public sector representatives. While carrying out the responsibilities below, the EA will also have the opportunity to get involved in various community projects or internal employee connection networks.
Key responsibilities
- Calendar & meeting coordination: Manage the UK MD’s complex schedule (Outlook), ensuring seamless coordination of internal and external meetings across multiple time zones.
- Stakeholder engagement: Confidently liaise with senior executives, external business leaders, government bodies, and public sector stakeholders, ensuring professional representation.
- Presentation & communications: Develop high-quality PowerPoint presentations, briefing materials, and executive summaries. Proofread and refine communications to be sent on behalf of the UK MD.
- Travel & expense management: Arrange business travel, prepare itineraries, and process expenses efficiently (Concur).
- Budget & reporting support: Assist in the annual budget planning process, track expenses, and pull reports from business systems (Workday).
- Action tracking & follow-ups: Take ownership of action items from key meetings, ensuring timely follow-ups and progress tracking.
- Event & meeting logistics: Organize all-staff meetings, quarterly offsites, and high-profile external engagements. Manage meeting room bookings, IT setup, catering, and security access. Support with the set-up of Zoom webinars.
- Special projects & initiatives: Provide support for strategic projects, employee engagement initiatives, and internal networks.
- Procurement support: Raise purchase orders and manage approvals using Coupa.
- Confidentiality & discretion: Handle sensitive information with the utmost professionalism and discretion.
What we’re looking for
- Proven experience as an executive assistant at C-suite or senior leadership level in a fast-moving environment.
- Experience working in an international environment, managing complex schedules across multiple time zones and cultures.
- Exceptional PowerPoint and presentation design skills—ability to create polished, executive-level decks.
- Strong organizational skills with the ability to juggle multiple priorities at pace.
- Confidence in handling senior external stakeholders, including government and public sector representatives.
- High attention to detail and ability to anticipate needs before they arise.
- Experience with Outlook (calendar management), Concur (expenses), Workday (reporting), Coupa (purchase orders), and Zoom (webinars/meetings) is preferred.
- An interest in community projects or internal employee connection networks, with the opportunity to get involved in initiatives outside of the core EA responsibilities.
