About the Executive Assistant role

In the role as Executive Assistant you will support people in the management team based in Stockholm. To succeed in this role you need to be a proactive problem-solver, have strong organizational skills and be used to operating in a fast paced environment. You will report directly to our Workplace Director, based in Stockholm. 

What you'll do

  • Ensuring the Executive Managers can focus on their daily hectic work by ensuring a smooth aid on everything around them
  • Coordinate complex calendars, on-site/off-site meetings and team events
  • Create presentations for internal and external meetings
  • Administration of board portal and meeting material
  • Coordinate point-to-point travel needs (car, flight, hotel, etc.) 
  • Assist the Management Team with administrative tasks 
  • Reporting of expenses

Who you are

  • You have at least 5 years of working experience as an Executive Assistant (or PA)
  • Experience from working in legal and/or public listed companies
  • Experience of committee and board meeting administration 
  • Strong ability to prioritize and re-prioritize in a dynamic fast paced environment
  • You have a passion for your work, a true “service soul” and are always aiming to exceed expectations
  • You are a team player with ability to work independently
  • Have strong social skills and high integrity
  • You are well organized and a great coordinator with an eye for detail
  • You are a creative self-starter and never reluctant to step in and get things done
  • Preferably previous experience from the hospitality sector, but most importantly, you have the instinct needed to provide great service and thrive in challenging situations as well as on making things happen
  • Fluent in verbal and written English
