We are seeking a proactive and organized Executive Assistant to support our VP/General Manager of Digital Technologies. This role is perfect for someone who thrives in a fast-paced environment and enjoys the challenge of managing complex schedules and international travel. You'll be the right-hand person to our VP, ensuring everything runs smoothly and efficiently.
Responsibilities may include the following and other duties may be assigned:
- Travel Coordination: Book international travel arrangements including flights, taxis/car services, rental cars, and hotels. Ensure all travel plans are seamless and submit expenses upon return.
- Diary Management: Manage the VP's day-to-day schedule, coordinating with other Executive Assistants globally to align diaries with peers and the Surgical Leadership Team.
- Customer Interaction: Assist in organizing meetings with potential and existing customers, including surgeons and hospital staff.
- Team Support: Support the VP's leadership team within the Digital Technologies business, even though not all members report directly to the VP.
- Hybrid Work: Enjoy the flexibility of working from home when there's no need to be in the office. Mirror the VP's schedule when they are in the office or attending events.
- Event Organization: Help organize company events as needed, in collaboration with the London Site Council, an employee-led group that organizes socials and represents employees.
- Confidentiality: Maintain the highest level of confidentiality in handling sensitive information and communications.
Required Knowledge and Experience:
- Proactive Attitude: You anticipate needs and take initiative to solve problems before they arise.
- Organizational Skills: You have a knack for managing complex schedules and ensuring everything runs smoothly.
- Communication: Excellent verbal and written communication skills, with the ability to liaise effectively with global teams.
