ICF is seeking a highly organised and initiative-taking Executive Assistant and Project Coordinator (Executive Business Operations) to join our growing business. The successful candidate will support our HR Business Partners, Business Operations, and Legal team across the UK and wider Europe. The individual will also provide operational administration support to our senior leaders, including the Group Lead for our Europe and Asia (E&A) business. This role is also pivotal in ensuring seamless coordination and execution of confidential change management projects across the organisation.

Key responsibilities:

This role offers an exciting opportunity to work at the intersection of HR, operations, and legal functions, contributing to the successful implementation of strategic projects within the company through project coordination and providing executive assistant support to senior leadership. Your key responsibilities will align to the following areas, but not limited to:

  • Support with document management and coordinating the signatures for corporate/legal documents.

  • Provide comprehensive administrative support to senior leadership and manage confidential information with discretion and professionalism, i.e. scheduling of meetings, travel management, etc.

  • Ensure you support the delivery of E&A group-wide communications through associated channels.

  • Provide support with the planning and delivery of group and leadership meetings and events (virtual/hybrid/in-person).

  • Manage project plans and coordinate meetings related to change management.

Experience:

•    Proven experience of 3-4 years in project coordination, administrative, business support, or a similar role
•    Experience with all Microsoft suite tools, i.e. Excel, etc. note-taking, etc.
•    Strong organisational and multitasking skills.
•    Excellent communication and interpersonal abilities.
•    Discretion and ability to manage business sensitive and confidential information.
•    Proficiency in project management tools and software.
•    Initiative-taking, proactive, willing, engaging, and task-driven attitude with a strong ability to get things done.

Preferred Skills:

•    Whilst exposure/experience working in HR, business operations environments or similar is highly beneficial for the role, it is not essential. 
•    Familiarity and/or understanding/exposure with change management processes.
