Role Overview

The Executive Assistant & Office Manager role at Aries supports the team through calendar management, travel arrangements, correspondence handling, and office organization. The role also includes event planning, expense management, and supporting to maintain the company’s social media presence. Candidates should have at least 2 years of experience, strong organizational and communication skills, and the ability to manage multiple tasks in a fast-paced environment. Key Responsibilities:

  • Efficiently manage executive calendars, coordinate meetings, and schedule appointments.

  • Arrange complex travel logistics, including flights, accommodations, and detailed itineraries.

  • Organize, maintain, and safeguard confidential files and sensitive company information.

  • Assist in planning and executing both internal and external company events.

  • Support the company’s social media presence, ensuring consistent branding and audience engagement.

  • Manage email and phone correspondence, responding on behalf of executives as needed.

  • Oversee office organization, helping with employee onboarding, ensuring a seamless and productive work environment.

  • Set up and maintain meeting rooms, ensuring they are equipped for productive discussions.

  • Track and manage expenses and invoices with accuracy and efficiency.

  • The right candidate will be able to take on more and more responsibility over time, including managing special projects, taking on HR responsibilities (recruitment, onboarding), social media and other important duties as assigned, demonstrating flexibility and initiative.

Requirements:

  • Experience as an Executive Assistant, Personal Assistant, Office Manager or in a similar role.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent time-management, organizational, and multitasking skills.

  • Outstanding written and verbal communication skills.

  • A proactive, energetic, and adaptable approach to work.

  • Ability to manage multiple projects and meet tight deadlines with minimal supervision.

  • High level of professionalism and discretion when handling confidential information.

  • Exceptional problem-solving skills and keen attention to detail.

  • Strong interpersonal skills with the ability to collaborate across all levels of the organization.

  • A resourceful and solution-oriented mindset in a fast-paced environment.
