About the role and about You:

Zwift is seeking an experienced and seasoned Executive Assistant with excellent organizational skills to provide high level administrative support to the Office of the Founder, CEO. This is a great opportunity to establish working relationships with our CEO and contribute to the overall efficiency of our organization.  

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills, the ability to identify and anticipate the CEO’s needs and to be able to operate in a fast paced environment. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Leadership Team, Board of Directors, key external partners and leaders that report to the CEO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion. 

What you’ll do:

  • Work directly with the CEO to support all aspects of their daily work routine
  • Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (will include domestic and international) arrangements. Keep track of travel days for tax reporting purposes. Exercise discretion in committing time and evaluating needs
  • Prepare, reconcile, and submit expense reports
  • Assist with scheduling and organizing board related meetings and events
  • Liaison between CEO and his family regarding travels and appointments 
  • Provide ad hoc personal admin support to the CEO; travel, appointments, family travel and coordination 
  • Ensure CEO is staying on schedule and proactively modifying their schedules as needed 
  • Maintain communications (phone, email, in-person) to ensure the most important information is easily accessible. Delegate items and escalate as appropriate 
  • Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up. Determine priority of topics needing attention; redirect or handle personally, as appropriate
  • Independently and proactively seek out information in a timely manner, and use independent judgment to make appropriate decisions to keep things moving
  • Supporting and working across multiple time zones (PT, ET, GMT); flexible availability to support in evenings and weekends as needed based on urgency of task 
  • Assist with written communication and documents. Compose and prepare routine correspondence and agenda material
  • Work on special projects especially those related to board members; travel required from time to time

What we’re looking for:

  • 5+ years as an EA supporting C-Suite, executives or high profile individuals with incredibly busy schedules in fast-paced, hi-tech or gaming environments   
  • Bachelor’s degree in a related field or equivalent work experience
  • Uncompromised integrity, trustworthiness and reliability; and a wholly inclusive mind-set 
  • A team player capable of cultivating productive working relationships across the organization
  • Meticulous attention to detail, excellent comprehension and ability to draw insights from multiple data sources
  • Ability to manage multiple competing priorities from different stakeholders and demonstrated ability to work in a fast paced and quickly changing environment
  • Excellent computer skills, including Google Suite (e.g. Gmail, calendar, sheets, docs, slides)
  • Exceptional writing, editing, and proofreading skills
