The Executive Assistant provides general administration and program management support to the International Managing Director and VP Sales, and the EMEA Sales Director, as well as ad hoc support to the EMEA Leadership and Sales Team. This role is for an entrepreneurial individual who has a customer service mindset and exceptional administrative, coordination and communication skills. You will thrive in a complex multi-timezone role, and ideally have had experience supporting an International leader in a US Headquartered globally matrixed organisation. You will help manage and schedule meetings, prepare agendas, take meeting minutes, make global ravel and meeting arrangements, manage expenses, and maintain appropriate systems to ensure efficient daily operations and communication.

This position will report to the International Managing Director and VP Sales

Job Description and Requirements

Your Role In Action 

  • Multi-timezone calendar management, partnering with other executive assistants globally to schedule regular meetings with various executives, 1:1 and for International EBRs and annual planning. 

  • Setting meetings, preparing content, taking minutes and disseminating meeting actions  .

  • General support to the EMEA Sales team and the cross-functional EMEA Leadership teams, both remote and in person.  

  • Maintain system hygiene (eg. Slack, Sharepoint, Salesforce) . 

  • Ad hoc office support, collaborating with the London Office Manager.

  • Plan and run social events for the entire region, (virtual and in person), social impact initiatives and employee-related company events and programmes throughout the year including the annual Christmas Party. 

  • Meeting, workshop and offsite arrangements both locally and internationally, including our annual London flagship event, Fest London. Participate in event planning and support for all marketing and sales events taking place throughout the year 

  • Expense management, and appropriate reporting timing. Book and manage international travel arrangements and be available to triage issues when they arise (not necessarily during business hours within reason). 

  • Various strategic projects that support International growth and operations.

  • Respond to emergencies or urgent issues as they arise and report .

Your Skills 

  • At least 5+ years in an executive admin or other similar business support function .

  • Excellent knowledge of the Microsoft Office Suite and Slack .

  • Grammar, editing, formatting, document preparation and proofreading skills.  

  • Experience managing schedules, booking travel and providing general support for a Director-level or above in a globally matrixed organisation. 

  • Focus on helpfulness and customer service . 

  • Handling confidential information . 

  • Strong project management skills to oversee and participate in multiple projects.  

  • Independently drive projects and company plans to completion.  

  • Genuine passion for building and maintaining a strong workplace culture .
