The role

In this role, you will work closely with the Infrastructure deal teams on all their investment and asset management activities.  You will provide critical administrative support to a few members of the European Infrastructure team; this role will also see you work closely and liaise with teams based in Toronto, New York, Sydney, Singapore and Amsterdam. This requires an ability to work at pace and with a high level of process ownership and accuracy not only with OMERS team members but also with the assistants of critical external counterparts and stakeholders such as legal and financial advisers, consultants, co-investors and management teams of portfolio companies.

Key tasks

  • Key team coordinator in projects or deals

  • Assist with team members’ diary management, co-ordinate meetings and prepare agendas and materials ahead of meetings 

  • Assist with document work in PowerPoint, Excel and Word

  • Project filing and record management

  • Process documents to be signed and returned, including through the use of DocuSign

  • Track client meetings and update call notes in CRM

  • Book travel and create itineraries across multiple time zones

  • Process expense reports for team members using Concur

  • Process invoice payments and liaise with the Accounts Payables team

  • Participate in support staff meetings and broader Infrastructure team meetings to ensure team collaboration 

  • Coordinate logistics for OMERS assets

Ad hoc tasks

  • Onboarding of new team members

  • Organise events

  • CRM Origination Projects

  • Liaise with international offices and provide assistance to visiting teams as required

Qualifications & Key Skills

  • Track record of successfully supporting executives and/or lawyers in financial organisations

  • Confident, highly organised individual who can communicate effectively and is adept at proactively managing a challenging and varied workload

  • Self-motivated and proactive (able to think ahead and work independently)

  • Able to work collaboratively with the other Executive Assistants of the team

  • Detail-oriented and thorough

  • Strong computer skills 

    • Outlook: calendar management

    • PowerPoint, Word, Excel

    • Adobe acrobat
