Job Description

The Executive Assistant will coordinate project executive duties and provide general administrative support to the function lead working on the major Rail project.

The role includes the following duties:

  • Building and maintaining strong relationships with key stakeholders
  • Manage professional and personal scheduling for the Directors including agendas, mails, emails, phone calls, client management and other logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Plan and orchestrate work to ensure that senior executives priorities are met
  • Preparation of presentations and reports
  • Organising meetings and workshops
  • Screening and prioritisation of emails of Project Director
  • Meeting and greeting visitors at all levels of seniority
  • Taking meeting minutes
  • Handling enquiries and requests
  • Preparing of letters
  • Screening telephone calls
  • Taking messages and following up
  • Assisting with travel arrangements
  • Implementing and maintaining procedures and administrative systems
  • Printing, copying and filing
  • Setting up of purchase orders
  • Liaising with staff from other departments
  • Other duties and responsibilities appropriate to the position

Qualifications

Skills and Qualifications:

  • A minimum 10 years’ proven experience as an Executive Assistant or in a comparable high-level support role, demonstrating exceptional organisational, communication, and strategic coordination skills.
  • Knowledge and awareness of the importance of being a representative for the major Rail proejct
  • Excellent verbal and written communication skills
  • Attention to detail
  • Skill in preparation and compilation of reports
  • Skill in preparation and compilation of presentations
  • Experience of working in a role where discretion and confidentiality are essential
  • Experience of working with diverse teams
  • Ability to work on own initiative, with multitasking capabilities
  • Ability to work to tight deadlines and prioritise tasks effectively
  • Strong interpersonal skills - ability to motivate others
  • Experience of undertaking and effectively managing a significant workload
  • Advanced Microsoft Office and SharePoint knowledge and experience
