We’re seeking an Executive Assistant to join the British GQ team. You’ll be a highly organised and proactive self-starter, providing essential operational support to the Deputy Global Editorial Director and Editorial Operations Director.

This role requires problem-solving, a proactive attitude and the ability to multitask. You’ll provide critical support to British GQ’s senior leaders, including but not limited to booking travel, scheduling meetings, managing calendars and deadlines, processing invoices and expenses, organising the editorial team, being the point of contact for office admin and helping out on events when needed.

You’ll be comfortable juggling multiple responsibilities, knowing which tasks to prioritise and maintaining clear, prompt and effective communication with team members in the UK and globally. You must also maintain strict confidentiality over some of the information you handle.  

This is a great opportunity for someone who wants to work in a creative environment. Previous holders of similar roles have gone on to either business management or operations positions. 

British GQ is a collaborative publication and encourages everyone on the team to contribute ideas. That said, this is not an editing or writing job. We’re looking for someone to help British GQ run like clockwork and foster a great working environment. 

What will you be doing?

  • Manage the Deputy Global Editorial Director’s busy calendar, booking local and international accommodation and travel plus processing their travel expenses. 

  • Manage the Deputy Global Editorial Director’s daily itinerary while anticipating and removing potential challenges and roadblocks.

  • Assist the Deputy Global Editorial Director with internal and external meeting preparation, providing briefing materials and agendas. 

  • Liaise with other Executive Assistants across Condé Nast to develop best working practices.

  • Handle mail, packages, returns and messengers as needed. 

  • Support the Editorial Operations Director with various operational tasks including setting up editorial meetings, tracking global rights and updating production schedules. 

  • Support the Editorial Operations Director with processing content and operational invoices and expenses, understanding various cost codes and budget lines. 

  • Assist British GQ’s senior leaders and Condé Nast’s People Team with scheduling interviews, onboarding new hires and facilitating communication with candidates and interns.

  • Help organise internal office events and support external events when needed. 

  • Assist with guest support and occasionally host visitors for the British GQ team.

  • Support the wider office with admin tasks such as acquiring building passes, setting up meetings in the boardroom and managing post and deliveries. 

Who you are:

  • Highly self-sufficient and resourceful.

  • Outstanding organisational and time-management skills.

  • Strong interpersonal communication skills with an emotionally intelligent communication style.

  • Demonstrated experience working as a Personal Assistant or an Executive Assistant to senior leaders in a similar media company. 

  • Proven experience managing the calendar, meetings and engagements of a senior leader in a similar media company.

  • Experience handling sensitive information with discretion and confidentiality.

  • Excellent written and verbal communication skills.

  • Ability to work under pressure in a fast-paced environment.

  • Entrepreneurial mindset, eagerness to learn and build and a reputation as an innovative, adaptable and proactive “doer” with a desire to differentiate Condé Nast from the competition. 

  • A deep familiarity with Condé Nast brands and their editorial voice.

  • Proficiency using the Google suite of tools including Google Sheets and Google Calendar. Experience with Trello, Airtable, and Encore preferred.

  • Familiarity with editorial and production processes is preferred.
