Role Overview We are looking for a highly skilled and proactive Executive Assistant to join our Executive Support team. This team plays a critical role in supporting Planet’s Executive Leadership across multiple functions including Commercial Sales, Retail, Hospitality, Product & Technology, Growth, Legal, and People.
As an EA, you will provide high-level administrative and business support to senior leaders in a fast-paced, global environment. This role requires a highly organised individual with exceptional written and verbal communication skills, sound judgement, and the utmost discretion.
What You Will Do

  • Diary Management: Coordinate complex, ever-changing schedules with precision.
  • Stakeholder Liaison: Build and maintain strong relationships across internal and external stakeholders through clear, professional communication.
  • Travel Management: Organise seamless domestic and international travel, including flights, accommodation, visas and itineraries.
  • Travel & Expense Oversight: Track and monitor travel and expenses, preparing reports and following up on items as needed to ensure compliance and accurate reconciliation.
  • Expense Processing: Submit and reconcile expenses in accordance with Planet’s policies using the Navan system.
  • Business Report Preparation: Own the preparation and timely distribution of weekly reportsl, including proofreading of content and excellent formatting.
  • Communication Events: Coordinate and lead on the delivery of key internal events, such as Town Halls and leadership offsites, including agenda preparation and logistical planning, ensuring smooth running through good execution.
  • Team collaboration: Work closely with the other EAs to share best practices, align on cross-functional priorities, and ensure consistent, high-quality support across the Executive team.
  • Office management: Work closely with the office manager to support on-site tasks and help ensure the smooth day-to-day operation of the London office.

What You Will Bring

  • At least 10 years of experience supporting C-Suite executives in a global, fast-paced environment.
  • Outstanding organizational and time management skills with the ability to manage competing priorities calmly and effectively.
  • Excellent verbal and written communication skills with the ability to adapt your style to different stakeholders.
  • A high level of discretion, integrity, and emotional intelligence, particularly when handling sensitive matters.
  • Confident with digital platforms, with strong proficiency in Microsoft Outlook, Teams, PowerPoint, and tools such as Workday and travel management platforms.
  • A proactive, can-do mindset with the ability to work both independently and collaboratively as part of a high-performing team.

This is a 12-month FTC.
