Your responsibilities will include:

  • Provide pro-active diary and email management for the CFO, ensuring all correspondence is addressed promptly and efficiently. Prioritize urgent items and manage conflicting requests. Coordinate and book both external and internal meetings, ensuring all necessary resources are arranged

  • Collect, organize, and prepare materials for team meetings, presentations, and other key events (ppt presentations, minutes of team meetings, etc.)

  • Organize and manage travel arrangements, including booking flights, accommodations, and visas. Ensure all logistics are handled, and proactively anticipate potential changes to the travel schedule

  • Organize and coordinate internal and external events, offsite meetings, and team-building activities. Handle all aspects, including diary management, catering, logistics, travel arrangements, and related expenses

  • Complete and submit all expense claims for senior management

  • Provide secretarial and administrative support to the CFO and senior management

  • Actively respond to and act upon various ad-hoc requests from the CFO and other senior management members

  • Liaise with internal and external stakeholders on behalf of the CFO. This may involve coordinating meetings, handling sensitive communication, and ensuring positive relationships are maintained

Professional knowledge and expertise:

  • Minimum of 7 years experience as a Personal or Executive Assistant, ideally supporting senior management or C-suite executives

  • Strong attention to detail and focused on quality

  • Ability to handle sensitive and confidential information with discretion and confidentiality

  • High level of verbal and written communications skills, with the ability to interact with senior leaders

  • Experience of travel planning, expense claims and diary management

  • Highly proficient in MS Outlook, PowerPoint, Excel and Word

  • Ability to multitask and prioritize daily workload

  • Strong planning, organizational and time management skills

  • Ability to think ahead, anticipating the needs of senior management and proactively taking action

  • Ability to work autonomously and take the accountability over your work, ensuring high quality work

  • Team orientation and ability to build relationships with peers, the executive committee and other key stakeholders
